Salary Range: $32,000 - $42,000

Position Summary:

The Administrative Specialist in the College of Science & Technology provides administrative support for the day-to-day operations of the Institute for Genomics and Evolutionary Medicine (iGEM). Under general supervision, completes administrative tasks, such as management of faculty calendars and contacts, screens incoming calls and correspondence and responds independently when possible. Prepares records, agendas, notices, minutes, and resolutions for meetings. Composes and prepares confidential correspondence, reports, and other complex documents. Arranges detailed travel plans and itineraries, compiles documents for travel-related meetings, prepares and reviews forms and specialized reports. Purchases supplies and equipment, keeps detailed records of all budget transactions. Serves as the front desk presence of the iGEM department. Assists students, professors and department visitors as needed. Regularly communicates with institute staff and collaborators to obtain and disseminate updated and accurate information regarding institute activities and reports. Keeps track of office supplies and submits orders through TU Marketplace to replenish inventory as needed. Assists in creating and managing special events and seminars by visiting guest speakers and researchers affiliated with iGEM. This includes booking event location, arranging catering, and assisting with the preparation of event materials. Performs other related duties as assigned.

Required Education & Experience:

At least two years of related administrative experience. An equivalent combination of education and experience may be considered.

Preferred:
Associate's degree
Experience in an academic environment

Required Skills & Abilities:

*Proficiency with Microsoft Office Suite, particularly Excel and Outlook.
*Ability to manage and prioritize several complex tasks simultaneously.
*Ability to learn new tasks and software, and work with minimal supervision.
*Ability to interpret and carry out general instructions and procedures.
*Strong interpersonal skills and attention to detail.
*Ability to operate standard office equipment.

*Excellent written and verbal communication skills.
*Excellent customer service skills with the ability to effectively interact with a diverse population of students, faculty and staff.
