Full-Time | Onsite | Monday-Friday, 8:30 AM - 5:00 PM

$25.41 - $31.77 per hour. Responsibilities

  • Provides administrative support to the Executive Director and HR Leader, including calendar management, scheduling, correspondence, expense reporting, and special projects.
  • Supports recruiting operations through job postings, advertising, applicant tracking, candidate communications, interview scheduling, screening coordination, and recruiting-related administrative duties.
  • Maintains personnel files, HR records, and HRIS data in compliance with confidentiality standards, company policies, and regulatory requirements.
  • Responds to routine employee inquiries and escalates complex or sensitive matters to the HR Leader.
  • Prepares reports, presentations, meeting materials, and PowerPoint decks; serves as a meeting notetaker and tracks action items and follow-up activities.
  • Coordinates meetings, training sessions, employee events, and company-sponsored activities, including logistics, materials, catering, and event support.
  • Manages the scheduling and logistics of onsite pharmaceutical-sponsored educational programs and meals, ensuring compliance with organizational policies and industry regulations.
  • Supports employee engagement, recognition, and wellness programs through participation in the Joy and Wellness Committee, creation of recognition materials, and coordination of employee celebrations.
  • Maintains SharePoint content and organizational communications, including employee resources, job aids, birthdays, anniversaries, and recognition announcements.
  • Supports daily office operations through mail distribution, package handling, supply management, local business errands, and general administrative coordination.
  • Performs other duties and special projects as assigned.

Qualifications

  • High School Diploma or equivalent required.
  • Minimum of one (1) year of Human Resources experience, or a Bachelor's degree in Human Resources, Business Administration, or a related field required.
  • Proficient in Microsoft Office Suite and experience working with HRIS, applicant tracking systems, SharePoint, Canva, or similar platforms preferred.
  • Strong organizational, communication, and customer service skills with the ability to manage multiple priorities in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.

Local Business Travel

As part of supporting daily operations, this role may occasionally perform local business errands, such as picking up supplies, materials, or other Practice-related items. Approved mileage for travel from The Practice to designated pickup locations and back to The Practice will be reimbursed in accordance with organizational policy.
