At Gensler, our Coordinators are not just administrative support-they are the beating heart of the studio, the first impression for every guest, and the steady force that keeps projects, people, and culture moving forward. Based out of Gensler's Raleigh, North Carolina office, this role sits at the intersection of operations, hospitality, and collaboration. You will be a trusted partner to leadership, a go-to resource for teams, and a visible presence who helps shape how the office feels for those who work here and those who visit. NOTE: This role is in-office Monday-Friday from 8:15AM - 5:15PM. No remote or hybrid candidates, please.

What You'll Do: Create Flow, Connection, and Exceptional Experiences

No two days look the same, and that's exactly the point. You'll move fluidly between supporting leaders, coordinating operations, and ensuring a best-in-class studio experience.

Here's how you'll make a difference:

Elevate Studio & Office Operations

  • Partner with Studio Leaders and Principals to manage calendars, coordinate meetings, arrange travel, and support day-to-day priorities
  • Keep the studio running smoothly by managing schedules, tracking PTO, supporting staffing coordination, and organizing key meetings, including weekly Monday all-staff meetings.
  • Own meetinglogisticsend-to-end, from scheduling and agendas to room setup and follow-ups
  • Support onboarding and talent initiatives, helping new hires feel welcome and set up for success

High-touch Communicator

  • Serve asa central pointof connection between teams, leadership, clients
  • Coordinate both office and project vendor visits, Lunch & Learns,optimizingprocess andutilizinga cost-savings mindset.
  • Manage correspondence,maintainkey databases, and ensure information flows clearly and efficiently

Deliver a Best-in-Class Visitor & Workplace Experience

  • Act as the face of the office, creating a warm, polished, and memorable first impression
  • Manage reception and front-of-house operations, greeting visitors, handling calls, and coordinating deliveries
  • Maintain beautiful, functional spaces, ensuring conference rooms, kitchens, and shared areas are always organized and ready
  • Anticipate needs and solve problems before they arise, creating a seamless experience for staff and guests alike

Support Culture, Events, and Community

  • Bring the studio to life by coordinating events, celebrations, and team gatherings
  • Ownlogisticsfor design reviews, client meetings, and internal programming (space, A/V, catering, setup, and follow-through)
  • Help foster a positive, inclusive, and engaging workplace culture
  • Manage office operations including supplies, vendors, facilities coordination, and maintenance requests
  • Support project teams with documentation, presentations, and sample coordination as needed
  • Contribute to sustainability initiatives andidentifyways to improve operations and reduce impact
  • Step in wherever needed, because in this role, adaptability is key

What You Bring: Organization Meets Hospitality

We're looking for someone who combines operational excellence with a genuine people-first mindset.

You'll thrive here if you:

  • Required: Have 2-5+ years of experience in an administrative, coordinator, or office support role (AEC or professional services a plus)
  • Required: Are highly organized, detail-oriented, and able to manage multiple priorities with ease
  • Required: A natural hospitality mindset with a high EQ; you enjoy helping others and creating positive experiences
  • Required: Error-free,timely, professional communication across all organization stakeholders
  • Required: Are proactive, resourceful, and take ownership without being asked
  • Required: Stay calm, flexible, and solutions-oriented in a fast-paced environment amidst competing priorities
  • Required: At least 1 year of Microsoft Office experience inclusive of Outlook calendaring at volume.
  • Preferred: Experience with tools like InDesign, Salesforce, Concur, or similar platforms
  • Preferred:Demonstratedexposure and passion for event planning, facilities coordination, or client-facing roles
