About the Job

Summary of Position:

MedStar Health is seeking an experienced, proactive, and highly organized Executive Assistant to support the Vice President of Gift Planning (Systemwide) and the Vice President of Philanthropy for MedStar Good Samaritan Hospital and MedStar Union Memorial Hospital.

This is more than a traditional executive support role. You'll serve as a trusted partner to senior leadership, helping advance philanthropic initiatives that directly support patients, caregivers, programs, and communities across MedStar Health. From coordinating high-level meetings and managing complex calendars to supporting donor communications and strategic projects, you'll play a critical role in the success of our Philanthropy team.

The ideal candidate is polished, resourceful, relationship-focused, and comfortable engaging with senior leaders, board members, volunteers, donors, and community stakeholders.

Primary Duties and Responsibilities:

  • Provide comprehensive executive support, including proactive calendar management, meeting coordination, travel arrangements, correspondence, and prioritization of competing requests for senior leadership.
  • Serve as a key liaison for internal and external stakeholders, including executives, physicians, board members, donors, volunteers, and community leaders.
  • Coordinate department meetings, prepare agendas, document meeting minutes, track action items, and manage follow-up to ensure successful execution of projects and initiatives.
  • Support strategic philanthropy initiatives by preparing presentations, educational materials, reports, donor communications, and customized acknowledgement letters.
  • Maintain and analyze donor and department data, generate reports, and support leadership with project tracking, program development, and decision-making activities.
  • Partner closely with Executive Assistants and Philanthropy colleagues across MedStar Health to ensure seamless communication, coordination, and operational excellence.

Minimal Qualifications:

  • Associate's degree or equivalent combination of administrative training and experience.
  • Progressively responsible executive administrative support experience is required.
  • Advanced proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience supporting senior leaders, executives, or boards.
  • Experience within philanthropy, fundraising, nonprofit, healthcare, higher education, legal, or professional services environments preferred.

Candidates with experience in philanthropy, planned giving, estate planning, legal administration, or paralegal work are strongly encouraged to apply.
