Brief Description:

The Administrative Clerk provides general clerical support in compliance with company policies and procedures. The Clerk will be responsible for the timely processing of automobile liability and workers' compensation claims; coordination with insurance carriers and regulatory agencies; and general office assistance with filing and maintenance of paper or electronic data records.

The successful candidate will: set high standards of performance for themselves and others; be professional in written, verbal and personal actions in any situation; seek new knowledge and experiences; have an analytical mindset that can utilize factual data to develop creative and business-oriented solutions; be self-aware and adjust accordingly to different environments and audiences.

This position reports to the Supervisor - Claims & Insurance.

Detailed Description:

  • Prepare and process claim data, vendor invoices, and other administrative documents in compliance with established procedures

  • Gather and sort documents such as bills, invoices, mail, etc.

  • Proactively manage work in a fast paced, dynamic work environment to meet deadlines

  • Promptly identify and resolve issues with documents or data to avoid processing delays

  • Initiate timely communication with supervisors and internal customers to ask questions when resolution of issues is unclear

  • Maintain a high level of confidentiality with all sensitive information

  • Follow all Company protocols, procedures and controls in performing assigned duties

  • Accurately maintain historical administrative and claim records in paper or electronic data files

  • Perform other related duties as assigned

Job Requirements:

  • Proficient in the use of computers and applications such as Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)

  • Ability to read and comprehend invoices, billings, employee information and other documentation received while performing duties

  • Maintain professional demeanor in all situations and with excellent interpersonal and relationship building skills and the ability to work effectively with executives, employees at all levels, and third parties

  • Excellent organizational skills; the ideal candidate will be resourceful and proactive in dealing with issues that may arise

  • Excellent verbal and written communication skills

  • Detail oriented with the ability to multitask and prioritize work

  • Ability to perform basic mathematical calculations and understand interrelationships of various computer functions (accounting, invoice tracking, etc.)

Minimum Qualifications:

  • High School Diploma or GED

  • 6+ months of general office or administrative related experience

Preferred Qualifications:

  • Courses in accounting, data organization, data processing, and computer software

  • Knowledge of medical terminology, automobile liability, and workers' compensation claims

  • Experience with the oil field services industry

  • Experience with SAP software

Working Conditions:

Work is primarily in a climate-controlled, office environment with minimal safety and health hazard potential. The employee is regularly required to sit, stand, or walk with occasional lifting (overhead, waist level) from floor, bending and frequent near vision use for reading and use of computer, telephone and other office equipment.
