JOB DESCRIPTION/DUTIES:

The Records Management Specialist supports the administration, maintenance, and governance of organizational records in compliance with federal records management, privacy, and legal requirements. This role plays a key part in managing Freedom of Information Act (FOIA) and Privacy Act (PA) processes, ensuring timely and accurate responses to requests, and maintaining records systems across enterprise platforms. The specialist combines records management expertise with technical skills in systems such as Microsoft 365, SharePoint, and Salesforce CRM to support efficient information lifecycle management.

Records Management & Compliance:




  • Perform records management activities in accordance with federal regulations, privacy laws, and legal requirements.





  • Support the implementation and maintenance of records retention schedules, policies, and procedures.





  • Ensure proper classification, storage, retrieval, and disposition of records.




FOIA & Privacy Act Support:




  • Assist in the development of analyses and reports related to FOIA and Privacy Act (PA) requests.





  • Manage the intake, tracking, and processing of FOIA and PA correspondence.





  • Establish and support processes to ensure timely and compliant responses to requestors in accordance with applicable policies and guidelines.





  • Maintain documentation and audit trails for FOIA/PA activities.




Information Systems & Tools:




  • Perform technical tasks to support records and request tracking within Salesforce CRM.





  • Manage and maintain SharePoint sites, including content organization, access controls, and permissions.





  • Support governance and usage of Microsoft 365 and Salesforce platforms for records and information management.




Automation & Reporting:




  • Develop and execute PowerShell scripts to automate records management tasks and generate reports.





  • Compile, analyze, and maintain data for operational and compliance reporting.





  • Create and maintain indexes and structured data repositories to support efficient information retrieval.




Policy & Governance Support:




  • Participate in the development and improvement of information management policies and governance frameworks.





  • Support standardization of processes across records management systems and tools.




Quality Assurance & Documentation:




  • Ensure all work products are accurate, proofread, and free of errors, omissions, and inconsistencies.





  • Maintain clear and organized documentation related to records management processes and outputs




EDUCATION/EXPERIENCE/EXPERTISE REQUIREMENT:




  • Bachelor's degree in Information Management, Library Science, Business Administration, or related field (or equivalent experience).





  • 3+ years of experience in records management, FOIA/Privacy Act processing, or information governance.





  • Working knowledge of:





  • Federal records management principles





  • FOIA and Privacy Act requirements





  • Experience with:





  • Microsoft 365 (including SharePoint)





  • Records tracking or CRM systems (e.g., Salesforce)





  • Strong analytical and problem-solving skills.





  • U.S. Citizenship.




PREFERRED EDUCATION/EXPERIENCE/EXPERTISE:




  • Experience in a federal or regulated environment.





  • Familiarity with records retention schedules and National Archives (NARA) guidelines.





  • Experience developing scripts (e.g., PowerShell) for automation.





  • Knowledge of data governance and information lifecycle management best practices.
