The UCI Academic Testing Center (ATC), a unit within the Division of Teaching Excellence and Innovation (DTEI), administers the Placement Testing Program to new and continuing students to ensure correct placement in selected introductory courses and to help students assess their readiness for University-level work. These tests are selected or developed by UCI faculty who also determine the grading criteria for each test. Students, with the help of academic counselors, use results from placement tests to determine enrollment in introductory courses and to formulate a plan of study that is best suited for their learning needs and career goals.


Your Role on the Team

Reporting to the Director of the Academic Testing Center (ATC), this position provides administrative support to the Center's operations. Responsible for the administrative functions and logistics of various services provided to the campus and community members, including students, staff, faculty, and the public. Assists in hiring and training ATC student staff. The individual is responsible for exercising judgment for abiding procedures, methods, and policy applications to provide a maximum level of customer service and satisfaction. The individual resolves routine issues and consults or refers to the Director as non-routine issues arise.

This is an in-person position.


What It Takes to be Successful

Required:

  • 2+ years of experience in administrative support.
  • Strong administrative skills and the ability to provide high quality customer service via various modes: phone, in-person, and virtually. Strong organizational skills.
  • Detail oriented with the ability to apply critical thinking skills to analyze problems and apply effective solutions.
  • Ability to exercise good judgment and discretion and demonstrate independence in identifying problems and proposing innovative solutions.
  • Ability to prioritize and complete work assignments in an environment of frequent interruptions, distractions and fluctuating workload.
  • Skill in reading and interpreting documents, written in English text, such as administrative policy and procedure manuals.
  • Ability to establish and maintain general office files and to develop a system of updating records/files.
  • Ability to establish, cultivate and maintain collaborative working relationships with faculty, staff and students. Skill in interacting with people of varied social, cultural, economic, and educational backgrounds to obtain and convey information.
  • Ability to exercise discretion in sensitive and confidential interpersonal dealings with faculty, staff, students and visitors.
  • Excellent interpersonal and communication skills, verbal and written, to work effectively across the organization at all levels. Ability to resolve conflicts with tact and diplomacy.
  • Ability to effectively manage multiple priorities and deadlines. Excellent multitasking and follow-through skills; able to work under pressure managing multiple projects with attention to details.
  • Skill in using Microsoft Office Word, Excel, Microsoft Outlook and Outlook Web App (Exchange) Calendar.
  • Ability to exemplify excellence through diversity by creating a welcoming and inclusive environment that maximizes the success and inclusion of our UCI community. Ability to work and interact with diverse populations and as part of a team.
  • High school diploma or equivalent experience
  • 1-3 yearsAdmin Support

Preferred:

  • Experience working as an administrative assistant in higher education
  • Knowledge of UCI's policies, procedures and general guidelines.
