Job Summary
  • Serves as team liaison between Central Advancement and other agencies, departments, and vendors to manage project-oriented activities. Ensures appropriate coordination of resources in support of program direction and development and provides support for implementation of programmatic functions and/or events, as needed. Interacts with various university administrators, staff, and constituent groups. Proactively seeks answers to inquiries and provides information as needed to university staff, faculty, students and other constituent groups.
  • Periodically monitor and track metrics and measurements for fundraising activity. Pulls data for all reporting needs to keep Development leadership informed. Compiles data and other pertinent information for review from project management software by Development/Advancement leadership and/or team members. Ensures effective entry, updates, and audits of projects, assignments, and/or related actions or milestones. Shares status updates and progress with team on a regular basis.
  • Assists with coordination of resources in support of program direction and development; provides additional support for event and program functions as needed.
  • Ensures effective management and coordination of all programmatic meetings, events, vendor relations and management. Manages event logistics such as scheduling, pre-event preparation and post-event evaluation and debrief. Collaborates with development/advancement team in securing appropriate resources in support of program development and direction. Liaises with Central Advancement teams to ensure appropriate coverage of events and/or donors.
  • Collaborates with RPM and IT departments to coordinate, request, process all pertinent research requests, data sets, metric reports, as well as process constituent profile creations/edit requests for use in day-to-day operations and/or specific donor-related matters. Works with RPM on research and data points/needs. Works with IT to create and/or implement new queries and reports. Generate regular and ad-hoc reporting requirements and requests in Advancement databases.
  • Prepares presentation and/or meeting materials for use by Development. Establish and maintain interpersonal contacts, which result in mutually beneficial working relationships. Handle matters that requires a broad range of problem-solving activities.
  • Composes reports and assists with grant research and grant proposals and other written materials and presentations. Consolidates and reconciles records based on donor stewardship.
  • Coordinates all aspects of Central Advancement constituent development team's travel. Facilitates reimbursement of incurred expenses, initiates transfer of funds to appropriate accounts for use. Serves as a Procard User for departmental transactions. Assures compliance and adherence to University credit card policies and procedures.
  • Discusses budgetary expenses and any related concerns with responsible parties and assists in resolving of issues that may arise. Manages processing of all vicinity expenses and reimbursements for respective areas including collection of receipts and additional information and making Budget Tracker entries to ensure timely processing.
  • Ensures compliance with University and State of Florida statutes, guidelines, and policies and procedures associated with budget and procurement.
  • May handle donated funds in the form of checks, stocks and other negotiable securities. Responsible for ensuring compliance with University & State of Florida statutes, guidelines and policies and procedures associated with budget and procurement. Handles sensitive and/or confidential information. Prepares all documentation for processing of Deposit Transmittal and Foundation invoices.
  • Works collaboratively with administrative support team to provide high level operational support.


Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR six (6) years of office or related experience; OR an equivalent combination of relevant education and/or experience.
