Complaints Analyst

Position
Purpose:
The Complaints Analyst is responsible for receiving,
evaluating, and investigating customer complaints related to product
performance, safety, and usability. This role ensures timely, accurate
documentation and supports postmarket surveillance,
regulatory reporting, and continuous improvement activities. The analyst
works crossfunctionally to ensure
complaints are thoroughly assessed, resolved, and integrated into the
organization's quality and riskmanagement systems.

Key Tasks

Complaint Intake & Evaluation

  • Receive, review, and triage incoming complaints from customers, clinicians, providers, internal teams, and global subsidiaries.
  • Identify whether complaints meet criteria for medical device reportability based on global regulatory requirements.
  • Open new complaints in the complaint management system and assign complaint codes based on established coding system.

Complaint Investigation

  • Conduct initial complaint investigations by
    gathering information through product history reviews and determining if
    the same or similar complaint has been previously investigated.
  • Support cross functional team in determining
    complaint root cause(s).

Complaint Closure

  • Document final investigation summaries,
    ensuring complaint files are auditready and adhere to QMS and
    regulatory requirements.
  • Close complaints in the complaint management
    system using established closure codes, standardized terminology, and
    required approval workflows.

Documentation & Record Quality

  • Ensure complaint files are complete,
    consistent, and compliant with regulatory standards and internal
    procedures.
  • Maintain highquality, auditready
    documentation that meets FDA, EU MDR, and other applicable requirements.

Authority
& Responsibilities

  • Authority to investigate and close complaints within scope of training and QMS procedures.
  • Authority to escalate cases to management or regulatory teams based on risk or reportability criteria.

Your Background

  • Associate Degree or higher is preferred
  • Knowledge on medical device complaint coding
  • Microsoft Word and Excel
  • Basic computer skills
  • Attention to detail
  • 2-3 years of Data Analysis and trending experience
  • Experience in medical device complaint receiving
  • Other
    qualifications or experiences.
