Position Description

Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions

Front Desk

  • Serve as the first point of contact for the Dean's Office and Student Success Center, this includes phone calls and visitors
  • Greet students, faculty, staff, and visitors in a professional and welcoming manner
  • Answer phone calls, respond to inquiries, and direct individuals to appropriate staff or resources
  • Support office supply ordering and inventory
  • Maintain a clean work environment and ensure the main lobby and break room are kept clean for visitors
  • Process purchase orders
  • Manage and purchase general office supplies to ensure the Dean's Office has access to appropriate supplies when needed, inventory list will be maintained by student assistants
  • Monitor vehicle maintenance including monthly fleet mileage logs, reconciling the Voyager card, and general vehicle upkeep (fuel, clean interior and exterior, regular oil changes, annual insurance renewal, etc.)
  • Serves as backup for procurement card reconciliation during peak times
  • Help manage Davis College parking spaces
  • Serve as Emergency Coordinator for the office

General Support for Dean's Office and Student Success Center
  • Support Dean's Office Staff with scheduling and filing for travel (including Associate Deans and center directors) - As needed for backup, Associate Dean travel goes back to dept for processing
  • Contribute as a team member assisting the Associate Deans, Associate Director for Student Success, and the Student Success Center team as deemed appropriate to meet the needs of the college and the students
  • Provide design and communication support to assist in Student Success Center and college efforts
  • Provide calendar management and scheduling support in collaboration with the Executive Associate for the Dean and all Associate Deans.
  • Manage and maintain all listservs, performing quarterly updates and routine cleanup as needed.

Assist with Coordination of College Events and Efforts
  • Coordinate and plan Ag Honors Banquet
  • Assist with the planning and execution of the Davis College Annual Pig Roast
  • Coordinate and plan Ag Council's Ag Fest, Winter Welcome, and Ag Olympics, etc.
  • Assist with coordination of Texas FFA CDE contests to include room bookings, scoring the Area contest, and managing the Judging Card website
  • Assist with coordination of Ag Week events
  • Assist with coordination of events under the Executive Associate within the Dean's Office

Required Qualifications

Bachelor's degree in job related field plus one year responsible experience. Additional specific job related experience may substitute for required education on a year for year basis.
