General Description of the Job Class

The Pharmacy Coordinator, within the Department of Pharmacy, is a key leadership position for a pharmacist, with responsibilities for being a team lead, coordinating a program/practice group, or being a Subject Matter Expert (SME) for a specific area. This clinical pharmacist coordinator will work with the pharmacy operations manager for the Duke Specialty Pharmacy to oversee operations of the Specialty Operations space located in Duke South. This consists of the mail room and call center operations. This includes managing all carriers and couriers and ensuring mailouts are sent out the door on time. They also will manage all packing and shipping supplies and freight orders, as well as managing all shipping support (shipping issues/patient escalations). They will create the call center and mail room schedule and ensure proper training and onboarding for call center and mail room staff. They will monitor call center metrics alongside the manager of operations and director of specialty pharmacy programs to ensure pharmacy accreditation and payer compliance. They will assist manager and director in quality control of cold chain temperature requirements and pack outs and potentially lead QC meetings if approved. They would also be consulted for day-to-day HR resolution and continued support for the whole operation that reports up to the Pharmacy Operations Manager. They would also keep track of all online training (Elevate, Dossier, LMS) and all certificates and licenses as required. All call center and mail room staff would directly report to this coordinator.

Duties and Responsibilities of this Level



  • The responsibilities of the Pharmacy Coordinator will vary based on specialty area. The duties and responsibilities for all areas include the following:
  • The Pharmacy Coordinator will serve as a leader for the Department of Pharmacy. This will include managing, and/or coordinating employees within a work unit. Assists, or is responsible for recruiting and onboarding of staff in the work unit. Establishes and maintains relationships with key leaders in specialty area. Maintains familiarity with all Division and Departmental programs and initiatives. Is responsible for personal and professional competency and growth.
  • Oversee Specialty Pharmacy call center and mail room operation and manage staffing and scheduling, as well as onboarding and training
  • Manage all packaging and shipping supplies through various vendors (including managing the warehouse freight surplus inventory on Geer Street for cold chain packaging). Communicate with Storr for biweekly deliveries for supply accumulations
  • Manage all shipments and ensure promise times are met and manage volume capacity
  • Managing all carriers and couriers for mail room operations
  • Maintain pharmacy call center metrics in conjunction with Pharmacy Operations Manager and Director of Specialty Pharmacy Programs to ensure URAC and ACHC compliance as well as payer compliance.
  • Assist manager and director in quality control of cold chain temperature requirements and pack outs
  • Lead QC meetings if needed
  • Consulted for day-to-day HR resolution and continued support for the whole operation that reports to the Pharmacy Operations Manager
  • Keep track of all online training courses (Elevate, Dossier, LMS) and all certificates and licenses as required



Required Qualifications at this Level

Education



  • Doctor of Pharmacy Degree, or, BS Pharmacy Degree and eligible for license as a Pharmacist by the North Carolina Board of Pharmacy.


Experience

  • Two years of pharmacy practice experience required.
  • Completion of PGY1 Pharmacy Residency or equivalent experience is strongly preferred and PGY2 Specialty Residency in area of specialty is strongly preferred.
  • Experience working in an accredited Specialty Pharmacy with managerial or supervisor experience is highly preferred.


Degrees, Licensure, and/or Certification

  • Licensed Pharmacist or eligible to practice pharmacy in North Carolina.
  • Certification in Basic Life Support (BLS) is required for employment.
  • Board of Pharmacy Specialties (BPS) in area of specialty, if applicable, is strongly preferred.
