| Brief Summary of Work for this Position |
The Executive Assistant serves as the senior administrative staff member of the Vice Chancellor's office and as the assistant to the Vice Chancellor with substantial delegated responsibility for managing complex administrative, operational, and project-based functions while also maintaining a high level of confidentiality. In addition to providing traditional executive administrative support, this position plays a key role in coordinating and managing divisional operations, including the development of procedures for efficient workflow, monitoring office operations, and overseeing multiple concurrent initiatives.
This Executive Assistant also supports human resources-related functions for the division, including leave tracking, performance evaluation processes, staff search and onboarding coordination, and serves as the liaison for multiple professional committees. This role is responsible for planning and managing a high volume of events and meetings and requires experience with crisis management.
This position must interact with senior university administrators, faculty, staff, students, alumni and members of the general public. Independence and decision-making responsibility within university policies, procedures and guidelines are imperative. The selected candidate must demonstrate a professional demeanor while interacting and communicating with contacts at various levels within and outside of the university. |
| Minimum Education and Experience Requirements |
Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience. Degrees must be received from appropriately accredited institutions. |

- Progressively responsible experience as an administrative assistant to a senior administrator.
- Experience with emerging technologies and social media

- Ability to manage the function during times of crisis, properly assessing a situation and facilitating resolution.
- Ability to exercise judgment and discretion with respect for confidentiality in performing work.
- Exceptional written and verbal communication skills with the ability to communicate various issues given the number of different constituent groups.
- Excellent time management skills.
- Ability to work autonomously on multiple projects.
- Effective decision-making and delegation skills to manage the various calls and contacts, requiring an understanding of operational issues.
- Ability to operate in a fast-paced environment, demonstrating proficiency in office management and organizational skills to plan and prioritize work assignments and to complete special projects.
- Proficiency in Microsoft Office to include Outlook, Word, Excel, and PowerPoint.
