Job DescriptionThe Senior Applications Administrator role focuses on maintaining and supporting all application environments, including the Workday ERP/SIS platform and other enterprise applications. This includes managing application software, monitoring and troubleshooting issues, and planning for application capacity and demand across the entire application portfolio. Key tasks involve advising on application security, system and security patches, backups, disaster recovery processes, and application change control for both Workday and the broader application ecosystem. The role requires strong communication and collaboration with business partners and leaders, contributing to strategy development, and possibly mentoring junior staff. The position demands extensive experience in application administration or a similar leadership role, with specialized expertise in Workday configuration and security governance, along with skills in problem-solving, time management, and technical knowledge in areas like Workday Security, Business Process framework, Report Writer, SQL server, scripting languages, and Active Directory.
  • Essential Functions

    • Application Functionality & Maintenance:

      • Maintain application functionality including:

      • Advising on the application security model

      • System and Security Patches, Version Upgrades, Backups, and Disaster recovery process

      • Scripting (if applicable)

      • Develop test plans to verify logic

    • Security & Compliance

      • Work closely with the Office of Audits and Analysis to ensure appropriate controls and audit logs are in place, such as

        • Investigating for actual or potential security breaches

        • Ensuring that all identified breaches in security are promptly investigated

        • Implementing system changes required to maintain security

        • Ensuring security records are accurate and that requests for support are dealt with according to set standards and procedures

      • Handles confidential and/or privileged information using discretion and judgment

    • Application Change Control based on business needs

      • Plan, coordinate, configure, test, and communicate changes, upgrades/maintenance schedules, and new services with clients, ensuring business operations will operate correctly in current and future environments

    • Support Process Workflow

      • Create, update, and manage application support tickets through the TSTC Support process workflow by logging and tracking progress from initiation through resolution using the ticket monitoring system.

      • Ensuring that requests for support are dealt with according to SLA

      • Prioritize, Investigate, Diagnose, and Resolve user issues and incidents

      • Troubleshoot and/or escalate application issues or defects to vendors

      • Implementation of agreed remedies and preventative measures to facilitate recovery

    • Monitoring & Analysis

      • Monitor, Identify, and Analyze patterns, trends, and issues

      • Update product and processes as needed

    • Documentation & Knowledge Management

      • Maintain system documentation

    • Customer Support

      • Answer and respond to all incoming customer support tickets within defined SLAs

    • Feedback and Training

      • Elicit, document, and distribute client feedback on our products and services to interested stakeholders within TSTC

      • Deliver training, documentation, and process improvement for the Customer Support team

    • Cross-Functional Collaboration

      • Participate in cross-functional team meetings and represent Support throughout the product release planning phases

      • Communicate and partner with product owners and business stakeholders to understand requirements, identify application impacts, and recommend solutions.

      • Partners with cross-functional teams across IT to effectively resolve issues.

      • Coordinate contract renewals, quotes, and invoices of equipment, software, and licensing.

    • Strategic Contribution

      • Contribute to the development of strategies, policies, standards, procedures, and tools

    • Incident Resolution & Escalation

      • Investigate, diagnose, and resolve application-specific incidents

      • Own escalation and incident response

      • Escalate to vendors as needed and document application-specific KB articles, change logs, and Root Cause Analyses (RCAs)

      • Operate within defined SLAs for application support requests

    • Additional Responsibilities

    • May require availability outside of normal working hours.

    • Understand the business function and workflows of each application.

    • May provide escalation support and mentoring to Application Administrator personnel.

    • Other duties as assigned.

  • Workday Essential Functions

    • Workday SME Collaboration

      • Coordinate with functional SMEs (HR, Payroll, Finance, Student) to ensure a proper technical understanding of Workday requests and align solutions to business processes

    • Security & Access Governance
      • Manage Workday access by reviewing requests and assigning or removing access in accordance with established governance and SME guidance

      • Perform regular audits to ensure role appropriateness and least-privilege principles

      • Design security models and role frameworks

    • Workday Configuration

      • Configure Workday business processes, notifications, condition rules, and calculated fields in alignment with business requirements

    • Tenant & Release Management

      • Work collaboratively with functional SMEs for bi-annual tenant release cycles, including:

        • Feature impact assessment

        • Prioritize changes

        • Sandbox testing

        • Regression plans

        • UAT coordination

        • Go-live execution

    • Business Process Architecture

      • Design enterprise-wide BP frameworks and rules

      • Balance automation, compliance, and usability

    • Integrations & Architecture

      • Coordinate with App Engineering teams to assist with integration design and data flows

      • Implement prebuilt API

    • Reporting

      • Utilize Workday Report Writer (and calculated fields as needed) to develop targeted diagnostic reports for technical troubleshooting, data validation, and root-cause analysis.

      • Perform system health checks and internal audits using advanced reporting to verify data integrity, security configurations, and business process behavior.

      • Maintain proficiency in Workday reporting tools exclusively for internal IT investigations and research

Education/Experience/Skills/Knowledge

  • Education

    • Associate degree in Information Technology required

    • Bachelor's degree in Computer Science or Information Technology preferred

  • Experience

    • Minimum of 4 - 6 years related experience

    • Extensive experience as an Application Administrator or in a similar leadership role.

    • Demonstrated leadership experience in a team environment

  • Core Skills:

    • Ability to multi-task many requests in an organized and timely manner

    • Must be able to balance and prioritize requests from multiple people

    • Outstanding attention to detail with superior time and project management skills

  • Workday Ecosystem - required

    • Minimum of 1 - 2 years of advanced experience in Workday administration, with a proven track record in a complex, multi-tenant environment.

    • Basic to advanced proficiency with Workday Security, Business Process framework, and Report Writer, including the ability to:

      • Configure business processes, notifications, condition rules, and calculated fields in alignment with business requirements and least-privilege principles

      • Established frameworks for managing Security & Access Governance, Business Process Architecture, and Tenant & Release Management, focusing on RBAC, least-privilege audits, and coordinating bi-annual cycles.

      • Identified competencies in EIB, API implementation, and advanced Reporting & Analytics to support executive and compliance data needs.

      • Emphasized coordination with functional SMEs across HR, Payroll, Finance, and Student departments to align technical solutions with business processes and compliance standards like FERPA

      • Work collaboratively with functional SMEs for tenant release cycles

      • Define reporting standards and support compliance requirements

  • Certifications (a plus)

    • Workday Pro Platform Administrator Certification

    • Workday Pro Security Certification

    • Workday Pro Adaptive Planning Certification

    • CompTIA, A+, Network+, Server+, or ITIL Foundations

  • Technical Knowledge

    • Hands-on experience in process automation, best practice approach, technology efficiency, and effectiveness.

    • Working Knowledge of SQL programming language - recommended

    • Experience with scripting languages and automation tools (e.g., PowerShell, Python, PowerAutomate, Power Apps).

    • Working knowledge of Entra/Active Directory, Intune, and Group Policies.
