Federal Realty Investment Trust is seeking an Assistant Manager of Operations for Santana Row, a mixed-use development in San Jose, CA consisting of 27 buildings and parking structures across 56 acres. This position reports to the Senior Manager of Operations and the Vice President, General Manager, and provides support, coordination, and oversight of the property's day-to-day operations. The Assistant Manager of Operations will assist in overseeing both in-house and contracted service departments to ensure property standards are met, support operational efficiency initiatives, and help maintain the value and performance of existing systems. This role requires close collaboration with residential, office, and retail operating teams.

Responsibilities

General Operational Responsibilities:

  • Assist in managing day-to-day operations of Santana Row, including facility maintenance, landscaping programs, sustainability initiatives, Fire/Life Safety programs, trash removal process, and coordination of contracted janitorial & security services as well as central plant & energy management systems.
  • Support efforts to enhance and elevate the consumer experience through daily assessments of property condition, ensuring issues are escalated and resolved in a timely manner. Areas of specific focus include, but are not limited to: Ensure the entrances and pedestrian walkways on the property, including building appearance, street condition and monument signage leave a positive first impression. Assist with oversight of housekeeping and overall facility maintenance disciplines. Support the landscaping program and contract administration, including coordination and supervision of 3rd party contractor activities. Assist with corporate risk management and insurance partners on property inspections, risk assessments, appraisals and follow-up documentation. Help maintain a safe environment by identifying potential hazards to center staff, tenants, customers, vendors and contractors. Support training and administration for programs such as OSHA, ADA, EPA and other regulated agencies.
  • Assist in the management of contractors and subcontractors from the bid phase through end of contract, ensuring alignment with company policy for capital and operational expense projects.
  • Work cooperatively with Tenant Coordination to support completion of landlord work and delivery of spaces to tenants; track progress and assist in expediting timelines to promote on-time tenant openings.
  • Participate in daily property walks with managers of facilities, landscaping, security, janitorial and Assistant General Manager and/or General Manager; document concerns and coordinate follow-up actions.
  • Read and interpret paper or computer-based engineering and architectural drawings and schematic diagrams as needed to support project coordination.
  • Support coordination with security, management and local/state governmental officials (including SJPD & SJFD) to assist with emergency response planning, emergency evacuation procedures and disaster relief preparation; participate in annual safety drills.
  • Provide operational support on special projects and other assignments as needed.

Financial Responsibilities:

  • Assist in assessing needs of the asset and supporting preparation of the 5-year capital expense & operating budgets for the property.
  • Support the General Manager and Senior Manager of Operations with financial tracking, vendor quote comparisons, and documentation that drives operating expense efficiencies.
  • Assist with preparation of quarterly variance reports and quarterly budget forecast support materials.
  • Monitor purchases and operational expenses for budget compliance and cost efficiencies; escalate concerns as needed.
  • Assist the Accounting Department with billings, invoices, charges, coding questions and dispute resolution.

Administrative Responsibilities:

  • Assist in resolving tenant lease and non-lease concerns related to facility and property management; ensure requests are tracked and communicated.
  • Maintain strong relationships with tenants through frequent interaction, professional follow-through, and participation in tenant meetings in support of facility operations initiatives.
  • Assist in managing and tracking operational purchases, work orders, and asset inventory logs.
  • Ensure service agreements and insurance documentation remain current and compliant with FRIT policies and procedures; support vendor compliance tracking.
  • Share responsibility as part of an on-call rotation and assist with after-hours calls/questions/emergencies when required.
  • Attend and support important major events at the center to help ensure smooth operations.

Internal & External Relationships:

  • Maintain effective working relationships with key individuals in all departments within the corporate office.
  • Develop and maintain positive constituent (retail, office, hotel, residential) relations through routine meetings and proactive communication.
  • Support coordination with the Marketing department on center events and common area activation to ensure operational readiness.
  • Assist in building relationships and communication with appropriate key civic leaders (Police and Fire Departments, City & County code enforcement officials, etc.) to help ensure compliance and operational coordination
Qualifications
  • Bachelor's degree preferred in Business, Engineering, Facilities Management or related field
  • 5+ years of property operations experience at a Regional Shopping Center or Mixed-Use Development preferred
  • Real estate management training and credentials and/or relevant licenses a plus
  • Ability to work with and communicate effectively with tenants, vendors and contracted service personnel
  • Supervisory experience and ability to lead and support diverse teams in coordination with senior leadership
  • Strong computer skills including Microsoft Outlook, Excel and Word (CMMS systems a plus)
  • Must possess a positive, professional approach with strong customer service focus and a desire to contribute to a successful team
  • Ability to perform essential on-site property inspections, including walking or standing for extended periods, with reasonable accommodations as needed

Salary Range: The typical total compensation range for this role is $115,000-$135,000 per year, inclusive of base salary and any applicable bonus. To ensure a fair and competitive offer, we take into account your job-related skills, experience, relevant trainings, and certifications.
