This position provides overall administrative support for our Convalescent and Rehabilitation Center. This role supports efforts in establishing and meeting goals related to resident care, budget, staff development, and Survey readiness.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide administrative support to include preparing documents, reports, budgets, and scheduling.
  • Maintain active resident Medicaid files.
  • Oversee resident trust accounts, including deposits and disbursements. Reconcile trust fund petty cash and maintain resident trust account records.
  • Maintain original Policy and Procedures files for the facility and ensure that copies are up-to-date and complete.
  • Oversee the daily operations for the medical supply department to ensure the maximum cost savings and appropriate inventory controls are in place. Manage inventory, stock and distribute supplies as needed.
  • Order office supplies and manage inventory. Ensure supplies are provided to other departments timely and efficiently.
  • Monitor & actively seek cost-savings from vendors and cost reductions in supplies as well as staff uniforms.
  • Provide support and collaboration to the interdisciplinary team for various projects or day-to-day tasks as needed and approved by the Administrator.
  • Manage USPS and interoffice mail system for the facility.
  • Maintain files for the facility as directed.
  • Participates as a member of the C&R's leadership team.


Policy and Procedure Management:

  • Participate in the development and updating of policies and procedures for areas of oversight; implement and evaluate new/revised policies and procedures to ensure consistency and compliance with applicable regulatory requirements.
  • Implement new approaches, policies, and procedures to effect continual improvements in efficiency of department and services performed.


Staff Management and Development:

  • Direct the recruitment, hiring, orientation, training, development, evaluation and discipline of medical supply staff.


REQUIREMENTS :

Education:


  • High school education or the equivalent required


Experience:

  • Three years relevant administrative experience required.
  • Supervisory experience required.
  • Experience in long term care or healthcare settings preferred.
  • Computer and Microsoft Office proficiency required.


Physical/Mental Requirements:

Work requires high attention and mental demands, including the ability to prioritize and process information with accuracy and clarity. Requires the ability to walk regularly, lift/carry 25 pounds maximum occasionally. Hearing and vision compensated to a functional level that is required to meet the essential functions of the job. Requires manual dexterity sufficient to operate a keyboard, photocopier, telephone, and other office equipment as necessary.
