Job Summary: The Sales Support Specialist II provides direct support to IES's Colocation (MTDC) and Hyperscale Data Center programs, managing job openings, WebID submissions, project tracking, and reporting across Spectrum, Building Connected, Power BI, and customer-facing dashboards. This role ensures data accuracy, visibility, and consistency across national Colo and Hyperscale projects while collaborating closely with Project Management, Estimating, and Sales to maintain seamless coordination from bid through execution. Additionally, the Specialist supports overflow RFP packages, new dealer registrations, and client qualification submissions, contributing to the broader Sales Support organization and ensuring compliance, consistency, and brand alignment across all deliverables. Key Responsibilities: Colo & Hyperscale Project Coordination Open and track all new Colocation (MTDC) and Hyperscale Web IDs, submitting requests to ColoWebIDRequest@iescomm.com and entering data into the live "2026 FY Colocation & Hyperscale Tracker Workbook." Upload and record award documentation (PO, LOI, NTP) into IES Web; confirm job openings and ensure real-time tracker accuracy. Perform monthly audits of active projects to verify proper classification, address accuracy, and naming consistency across SharePoint resources. Maintain alignment and data flow across Spectrum, Building Connected, Power BI, and ZoomInfo, ensuring consistent reporting and program visibility. RFP / Proposal Development & Prequalifications Review and analyze RFPs to develop high-quality, compliant, and on-brand submissions that highlight IES expertise. Assist with overflow RFP package creation, new dealer registrations, and client qualification submissions. Coordinate supporting content-including project experience, org charts, resumes, and certifications-and ensure all deliverables are current and properly branded. Document Control & Content Management Manage and maintain project documentation such as prequalifications, certifications, and bid questionnaires, ensuring accuracy, accessibility, and compliance. Support companywide document organization within SharePoint and client portals to uphold audit readiness and data integrity. Market Research & Business Insights Conduct ongoing research within the Data Center and Colocation industries to identify new opportunities, regional trends, and emerging technologies. Analyze market and competitor data to provide actionable insights that inform sales strategy, client engagement, and resource planning. Client & Vendor Onboarding Facilitate onboarding for new clients, vendors, and subcontractors, maintaining all compliance documentation and contractual data in coordination with Accounting and Legal. Compliance & Standards Oversight Ensure adherence to all legal, safety, and documentation requirements, including federal, state, and client-specific regulations. Verify bid and bonding documentation meets company and industry is tstandards. Cross-Functional Collaboration Partner with Project Management, Estimating, Safety, Quality, Finance, Marketing, and Operations to align sales support activities with project execution. Provide consistent communication and document support to facilitate smooth job openings, reporting, and closeout deliverables. Marketing & Communications Support Assist in the creation and distribution of marketing and proposal materials, ensuring alignment with IES branding and messaging. Contribute project data and success metrics to support national and regional marketing initiatives. Team Engagement & Continuous Improvement Participate in regular team meetings and program updates to share progress, identify challenges, and support strategic goals. Leverage AI and automation tools (ChatGPT, Microsoft Copilot, Power BI, etc.) to improve accuracy, reporting speed, and overall efficiency. Qualifications Physical and Mental Requirements: Education: High School Diploma or GED required; Associate degree preferred. Experience: Minimum of five (5) years in sales support, project coordination, or a related field, preferably within the construction, engineering, or data center industries. Client & Internal Collaboration: Demonstrated experience interfacing with executive-level staff and acting as a liaison between internal teams and clients. RFP & Proposal Development: Proven ability to analyze complex RFPs and produce high-quality, compliant proposal content. Experience assisting with overflow creation of RFP packages, new dealer registrations, and client qualification submissions. Project & Document Management: Skilled in organizing, maintaining, and tracking project documents, including prequalifications, certifications, contracts, and bid deliverables. Marketing & Communications: Experienced in creating, editing, and maintaining brand-compliant materials such as prequalification statements, brochures, and presentations. Technical Writing: Adept at drafting clear, concise, and well-organized documents-including proposals, technical summaries, and capability statements. Legal & Compliance Knowledge: Familiar with regulatory compliance, contract administration, and documentation standards related to bids, bonds, and vendor onboarding. Technology Skills: Proficient in Adobe Suite, Microsoft Office (Word, Excel, PowerPoint, Publisher, Visio, Outlook), Power BI, Teams, and OneDrive; experienced in using AI-assisted programs and automation tools such as ChatGPT, Microsoft Copilot, and Adobe Firefly to enhance efficiency, accuracy, and content development.
