GENERAL PURPOSE
Under general supervision, perform daily office, environmental health and safety (EHS) and human resources (HR) support duties. Support human resources activities, including recruiting, onboarding, benefits, and general HR functions. Perform office/facility duties such as mail service, purchasing, shipping, inventory management, reporting, accounts receivables/payables, and general operations support. Play a key role in keeping the office/facility running smoothly. Respond to the needs of internal and external customers. Perform duties in accordance with standard procedures.
JOB DUTIES AND RESPONSIBILITIES
- Verify and review for accuracy the raw manifest and balance with the Council.
- Support EHS-related activities, training, communication, and record keeping.
- Maintain office filing records system, answer phones,
- Schedule plant or location tours, arrange meetings, and facilitate various location activities
- Retrieve and sort incoming mail and deliveries
- Gather invoices, match invoices with purchase orders and back up, and process invoices for payment
- Complete scheduled and ad-hoc reports (downtime reports, safety reports, HR reports)
- Assist with or serve as a records coordinator in the records retention process
- Review contracts for deadlines, monitor performance of office supply contractors, and authorize payment to office services and supply vendors including providers of coffee, dairy products for office use, copier servicing and billing, cleaning, f irst aid, mailing equipment, trash, recycling and other various office vendors
- Maintain safe working conditions for employees and compliance with all state and federal regulations regarding health and safety issues
- Participate in weekly safety observation program
- Participate in monthly GMP inspection program
- Exhibit the values and ethics of Dairy Farmers of America through honesty, discretion, and sound judgement
- Follow all DFA GMPs and work in a manner consistent with all corporate and regulatory, food safety, quality, and sanitation requirements
- Adhere to all DFA Quality, Safety, and GMP policies and procedures in a manner consistent with all corporate regulatory, food safety, quality and sanitation requirements; and report any nonconformity
- Attend required training, including but not limited to, Safety, GMP, Hazard Analysis and Critical Control Point (HACCP), and Safe Quality Foods (SQF)
- Maintain an orderly and well-stocked office supply room, office, kitchen, and common areas; inventory, order, and put away supplies
- Maintain a cooperative working relationship with customers, vendors, employees and peers

EDUCATION AND EXPERIENCE
- High school diploma or equivalent
- Some college coursework, preferably in human resources, preferred
- 1 to 3 years of administrative support, office coordination, human resources, or related experience
- Certification and/or License - may be required during course of employment
KNOWLEDGE, SKILLS, AND ABILITIES
- Knowledge of and skill with Microsoft Office Suite and company computer systems
- Knowledge of general human resources processes and practices
- Able to respond courteously and efficiently to inquiries, complaints, and requests
- Able to communicate clearly and effectively, both verbally and in writing
- Able to work with accuracy and detail oriented
- Able to problem solve, multi-task and prioritize own work activities
