The Opportunity:

The Assistant Director, Events & Experiences supports the planning, coordination, and execution of high-quality events and donor experiences that connect university supporters and prospects to UCF's mission. In partnership with the Director, Events & Experiences, campus partners, and external vendors, this role helps deliver seamless, meaningful events that express gratitude, inspire philanthropy, and strengthen donor relationships. The ideal candidate brings creativity, organization, and strong communication skills to elevate the guest experience across Advancement & Partnerships events.

Classification Title: Event Manager I

Responsibilities:


  • Support the planning, coordination, and execution of university and unit events, including vendor coordination, site selection, event specifications, contract review, and payments.

  • Assist in the creation and delivery of donor experiences and special events that recognize generosity and promote engagement with UCF.

  • Collaborate with advancement colleagues, development officers, and campus partners to align event goals, create timelines, and ensure successful outcomes.

  • Manage attendee logistics such as invitation lists, registration tracking, and event communications, ensuring consistency with UCF branding and tone.

  • Provide on-site coordination and event support, ensuring smooth execution and an exceptional guest experience.

  • Assist with post-event evaluation, including data tracking, budget reconciliation, and feedback collection, to drive continuous improvement.

  • Ensure compliance with university fiscal and operational procedures while maintaining accurate event documentation and records.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:


  • Proven experience in event planning, donor relations, hospitality, or related field, preferably in higher education or a nonprofit organization.

  • Strong project management and organizational skills with the ability to manage multiple priorities and meet deadlines.

  • Excellent interpersonal and communication skills with a collaborative, customer-focused approach.

  • Experience coordinating with vendors, negotiating contracts, and managing event budgets.

  • Familiarity with CRM systems, event management software, and marketing or registration platforms.

  • Demonstrated creativity and attention to detail in planning meaningful and high-quality experiences.

  • Ability to work occasional evenings, weekends, and travel as needed for event execution.

The anticipated pay scale indicated for this position generally applies to candidates who meet the minimum requirements and several of the preferred qualifications outlined above.
