Summary

The Marketing Coordinator supports the company's brand visibility and engagement by coordinating advertising opportunities, thought leadership initiatives, and marketing campaigns. This role will manage speaker and panel opportunities, podcasts, and content contributions while also coordinating social media campaigns, marketing collateral, website updates, and invoice processing. The ideal candidate is detail-oriented, highly organized, and skilled at managing multiple projects across teams and vendors.

Essential Duties and Responsibilities

  • Coordinate and execute marketing activities across events, advertising, and digital platforms to support brand visibility and business objectives.

  • Develop, update, and manage marketing materials including collateral, web content, and promotional assets ensuring alignment with brand standards.

  • Collaborate cross-functionally with internal teams and vendors to plan, track and deliver campaigns, while managing related budgets, schedules, and approvals.

Promotional Materials & Inventory Management

  • Oversee promotional item ordering, inventory, and distribution for tradeshows, events, and customer programs.

  • Manage event collateral, signage, and branded materials to ensure consistency with brand standards.

  • Partner with vendors and internal creative team to develop promotional products and materials

  • Track usage and replenish stock of branded giveaways and event kits.

Advertising & Thought Leadership

  • Identify and coordinate advertising opportunities across industry publications, associations, and digital platforms.

  • Support planning and execution of thought leadership activities, including speaking engagements, panel participation and podcasts.

  • Coordinate with internal subject matter experts to prepare materials, talking points, and content for thought leadership opportunities.

  • Track invoices, deliverables and ensure deadlines for advertising and thought leadership opportunities are met.

Marketing Collateral & Digital Content

  • Manage updates to marketing collateral, including brochures, data sheets, presentations, etc.

  • Coordinate website content updates, ensuring information is accurate, timely and aligned with brand guidelines.

  • Work with creative internal teams or vendors to ensure collateral is designed and delivered on time.

  • Maintain consistent branding across all marketing materials and platforms.

Administrative & Financial Management

  • Process and track marketing invoices, ensuring accuracy and timely submission.

  • Maintain records of contracts, invoices, and payments related to advertising, tradeshows, sponsorships, and vendors.

  • Assist with budget tracking and reporting for campaign activities.

  • Promotional Materials & Inventory Management

Qualifications and Education Requirements

  • Bachelor's degree in Marketing, Communications, Public Relations, or related field, or equivalent experience.

  • 2-4 years of experience in marketing coordination, advertising, or communications.

  • Strong organizational, project management, and multitasking skills with excellent attention to detail.

  • Strong written and verbal communication skills, with customer-facing professionalism.

  • Familiarity with social media platforms (LinkedIn, X/Twitter, Facebook, Instagram) and scheduling/analytics tools.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), project management/event tools such as Asana.

  • Ability to travel (10% to support events, tradeshows, and customer engagements).

Preferred Skills

Experience working with vendors, shipping/logistics, and promotional product management.

  • Strong written and verbal communication skills, with customer-facing professionalism.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), project management/event tools such as Asana.

Security Responsibilities

Must complywith all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Incumbent must be eligible for DoD Personal Security Clearance.

Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.

Work Environment

  • Duties performed in an office environment and manufacturing facility.

  • Must be able to work overtime on as required.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Lift, carry, and move boxes, promotional items, and event materials weighing up to 40-50 pounds

  • Stand and/or walk for extended periods of time during event setup, show days, and teardown.

  • Travel as needed to domestic and international locations, sometimes with extended or irregular hours

  • Work in fast-paced environments with competing pr4iorities and time-sensitive deadlines

  • Operate basic event equipment and tools
