Summary: Responsible for supporting the delivery of patient care, participate in administrative tasks, and assist in various healthcare projects. Position Overview

We are seeking a proactive, detail-oriented Administrative Co-op to support the department's clinical and operational functions. This individual will gain hands-on experience in both front-line and back-end administrative work, while contributing to strategic initiatives that support our specialized programs, including:

  • Transcranial Magnetic Stimulation (TMS)
  • Electroconvulsive Therapy (ECT)
  • Ketamine and Esketamine Therapy
  • Photobiomodulation (PBM)
  • Comprehensive neuropsychiatric services

This role offers the opportunity to be involved in a fast-paced, mission-driven environment while developing critical skills in healthcare administration, operations, and data analysis.

Experience
Currently enrolled as a student pursuing a relevant degree or diploma in a healthcare-related field. 0-1 year required

Knowledge, Skills and Abilities
- Strong interest in the healthcare industry and a desire to gain practical experience.
- Excellent communication and interpersonal skills to interact effectively with patients, healthcare professionals, and staff.
- Detail-oriented with good organizational and time management skills.
- Ability to handle confidential information with integrity and professionalism.
- Proficient in using basic computer software.
- Willingness to learn, adapt, and contribute as part of a healthcare team.
- Knowledge of healthcare regulations and privacy laws is an asset.

Key Responsibilities

  • Front Desk & Patient Support: Assist with patient check-in/check-out, manage daily clinic flow, and ensure a welcoming environment.
  • Scheduling & Billing Operations: Support appointment coordination, scheduling across modalities, and assist with billing and documentation workflows.
  • Strategic & Operational Planning: Participate in planning discussions; contribute to tracking departmental initiatives and preparing project materials.
  • Data Review & Reporting: Assist with collecting, organizing, and reviewing operational and clinical data; identify trends and contribute to performance improvement efforts.
  • Presentation Development: Create slide decks and summaries to support leadership decision-making based on operational and clinical data insights.
  • Cross-Team Collaboration: Work closely with clinicians, admin staff, and leadership to ensure streamlined program operations and clear communication across teams.

Qualifications

  • Current undergraduate or graduate student in a relevant field (e.g., Healthcare Administration, Public Health, Psychology, Business, or related disciplines).
  • Strong interpersonal, organizational, and written communication skills.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word); familiarity with electronic medical record (EMR) systems is a plus.
  • Interest in mental health care, neuroscience, or healthcare delivery strongly preferred.
  • Ability to maintain confidentiality and demonstrate professionalism in all interactions.
