Job Title: Grants and Contracts Specialist

Position: #00812809 - Requisition: #37675

Job Summary:

The Department of Medicine (DOM) Research Office has an opening for a full-time University Staff Entry Level Grants and Contracts Post-Award Administrator. This role is responsible for complex and varied financial and regulatory work related to grant post-award administration. The primary responsibilities of this position are to assist Principal Investigators (PIs) with the financial, accounting, and procurement transactions and policies related to their funded research grants. The Grants and Contracts Specialist will report to the Research Office Program and Grant Manager and provide centralized support to DOM Researchers and Division Research Administrators to ensure compliance with all Federal, State, Sponsor, and University policies & and procedures. The position is within a service center providing expertise to multiple divisions and faculty, and as such, performance of work is required at least 8am-5pm Monday through Friday. A minimum of three full in person days per week is required, with more in person time possible, dependent on workload and customer availability.

Key Responsibilities:

  • Enter funding distributions, Journal Entries, and Payroll Expenses Transactions, and reconciliation of subcontract and consultant invoices.

  • Provide financial projection forecasting and interpretation for faculty.

  • Update grant award data in standardized templates monthly and distribute to all faculty in a timely and professional manner. Conduct one-on-one meetings with faculty to describe their funding portfolio and discuss any necessary adjustments.

  • Perform routine audits of payroll as well as other research expenses for faculty to ensure expenses are properly calculated and encumbered in their appropriate accounts. Make appropriate corrections in a timely manner.

  • Manage the Post Award Core shared inbox that has a high volume of requests and ensure timely and accurate responses and associated documentation is completed correctly.

  • Schedule meetings with Principal Investigators, Division and Department administrators, and Research Office staff.

  • Writing and reviewing SOPs.

Work Location:

Hybrid - following training, this role may be eligible for a hybrid schedule of 3 days per week, 8Am - 5PM, on campus and as needed based on workload and in-person meetings.

Qualifications:

Minimum Qualifications:

Bachelor's degree in accounting, finance, sciences, business, or a directly related field from an accredited institution.

A combination of education and technical/paraprofessional experience directly related to this position may be substituted for the bachelor's degree on a year-for-year basis.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • One (1) year of experience in research grant administration, particularly accounting and/or finance responsibilities.

  • One (1) year of experience with financial reporting (m-Fin), procurement systems, and PeopleSoft HCM and Finance

  • Concur Travel and Expense System experience.

  • Experience in interpreting and applying post-award policies from a variety of funding structures (federal, state, foundation, and institutional) and serving as a resource to others.

Knowledge, Skills, and Abilities:

  • Knowledge of the regulatory policies associated with the post-award administration of federal and private foundation grants (e.g., HIPAA and human subject protection, animal protocols).

  • Excellent written and verbal communication skills.

  • Proficiency in all Microsoft Office applications (Word, Excel, Outlook, PowerPoint).

  • Ability to work on multiple projects simultaneously.

  • Ability to remain detail-oriented with changing priorities.

  • Adaptability to grant-specific guidelines and the needs of different Principal Investigators (PIs).

  • Ability to work independently following training.

  • Outstanding customer service skills.

  • Ability to collaborate and form effective working relationships.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $48,070 - $61,145.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
