Description A Brief Overview

Under the direction of the Manager, Talent Acquisition Operations, the Coordinator, Talent Acquisition, will follow the standardized recruiting process by partnering with designated recruiters and hiring managers to perform Recruiting and Onboarding administrative support tasks associated with employees and candidates. Act as a liaison between background check vendor, Employee Health and the recruiter to promote a positive candidate experience.

What You Will Do

  • Recruiting (pre-offer):
    * Demonstrates knowledge and skill in recruitment by assisting with the execution of specific recruiting functions (i.e. statusing of candidates, sourcing research, job postings, email blasts) to ensure the best-fit candidate for the position to meet hospital needs. This includes focusing on the priority to provide an outstanding candidate experience
    * Assists with the staging and posting of requisitions
    * Helps schedule first round interviews to supplement the Candidate Scheduling Module. Clears candidates in Screening status by contacting them for an interview via email and Call-Em text/phone message
    * When applicable, schedules Manager round interviews
    * Coordinates travel arrangements in concert with hiring department representative
    * Assigned involvement with Recruitment Applicant Tracking System. This includes responding to candidate inquiries via the Employment & Talent Acquisition Inboxes in an on-going effort to ensure a positive candidate experience.
    * Develops overall behavioral assessment skills by conducting internal job fit screens for entry-level positions as assigned.
    * Responsible for continually building and maintaining effective relationships with all team members to include peers, recruiters, hiring managers, TA leadership and HR team through strong communication, understanding of business needs and strategies, and good decision making abilities to support the UH recruiting strategy.
  • Onboarding (post-offer):
    * Acts as primary point of contact for all facets of the onboarding process
    * Initiates the onboarding process by sending a Welcome Email and Call-Em All text/phone message.
    * Assists new hire with questions related to the onboarding forms. Sets up WebEx as need in support of this process.
    * Monitors and distributes Post-offer Onboarding Report to recruiters communicating the status of hires. Ensures candidates are cleared for duty prior to their start date
    * Collaborates with the recruiter and Staffing Compliance Specialist to ensure compliance with background check and internal primary source verification processes; completes Discrepancy form
    * Creates Post Offer Onboarding Checklist for each hire and is responsible for tracking the hire's progression through the Onboarding process. Uploads form in the Electronic Requisition File folder
    * Completes Hire/Hired status for final candidate
    * On Bases all required documents (application, offer letter, background check with supporting documentation and primary source verification) into the employee's electronic personnel file. Inputs fingerprint results in Oracle.
    * Creates individual Electronic Requisition File folders, as requested
  • Additional duties:
    * Participates on recruitment process improvement committees, initiatives or projects
    * Assigned involvement in creation of monthly as well as ad-hoc Recruitment metric reports.
    * Assist with the training of new team members
    * Special projects, as assigned, that contribute to the overall department goals related to Recruitment and Retention.

  • Must abide by all requirements to safely and securely maintain Protected Health Information (PHI) for our patients. Annual training, the UH Code of Conduct and UH policies and procedures are in place to address appropriate use of PHI in the workplace.
