Location: HQ-Office, San Francisco, CA, USA Time type: Full time JOB DESCRIPTION We're looking for an Executive Assistant who will report to the VP, Global Head of Finance & Sale Transition, and also support the VP, Global Head of International. The ideal candidate will have strong project management skills and excel at facilitating communication across internal and external stakeholders. This role requires someone who thrives in a fast-paced environment, can anticipate the needs of company leaders, and demonstrates professionalism and discretion at all times. About the Job * You will provide Executive Assistance for the Leadership Team, including extensive internal and external calendaring, point-to-point business travel, expenses, and special projects. * Contribute to the excellent reputation of the company through professional, friendly, and respectful interactions with all internal and external stakeholders. * Liaise with senior-level leaders and team members across LS&Co. and cultivate cross-functional relationships between departments and improve communication across teams. * Prep agendas, presentations and information and attend select leadership HR meetings and stay informed - take notes, identify follow-ups and send reminders. * Manage demanding Outlook calendaring requests, while also keeping executives accessible * Handle and maintain highly confidential and sensitive information * Serve as the brand extension for leader you support, escalating and communicating on their behalf and serving as a team liaison * Coordinate events, including internal team events, conferences, team off-sites, business and operational reviews, and other team meetings, including arranging meeting rooms and catering requests * Initiate purchase orders, reconcile invoices, and complete/track expense reports * Coordinate complex travel and expense reporting using Concur * Maintain impeccable standards of confidentiality and information security About You * 3-5 years of experience supporting senior executives, ideally in an HR environment. * Experience with extensive international and domestic travel arrangements. * Experience supporting multiple senior leaders simultaneously. * High degree of integrity when dealing with confidential and sensitive information. * Adept at working with different personality types and leadership styles. * Advanced proficiency with Microsoft Office Suite and/or Google Workspace. * Familiarity with Concur, Confluence, Jira, or similar tools is a plus. This is a hybrid position based in our San Francisco, CA headquarters. You will be expected in office 3 days per week typically Tuesday-Thursday. Note, time in office can vary depending on business needs. |
