Department:CES | Animal ScienceDepartment's Website: The Administrative Specialist III performs administrative duties for the Animal Science Department. Contributes to a team environment by assisting faculty and staff in the department with meeting high priority deadlines. Duties: Assists faculty by monitoring department budgets and account balances for grants, ADC, 4-H Foundation, etc. Responsible for vehicle reports, mail and routine correspondence. Maintains and updates mailing lists as needed. Maintains inventory control of equipment for department. Orders and maintains sufficient stock of office supplies and equipment for department and for special events. Prepares and maintains departmental website/Facebook/other social media. May assist with conference and webinar video recording and editing, including closed caption editing. Occasionally proofreads documents. Assists with arrangements for upcoming meetings, seminars, and trainings including travel, event space rental & catering, submitting and monitoring progress of memorandum of agreements and contracts approval processes, and the preparation of documents or materials that may be needed. Prepares and submits faculty travel forms, expense reimbursements, and on-line requisitions for invoice payments with specific funds for payment. Provides required documentation to expedite payments and reimbursements. Updates programmatic spreadsheets and databases. Responsible for gathering data and creating various documents for end of year reporting and evaluations. Gathers appropriate paperwork and documentation for grant internal approval, submission and reporting for assigned specialists. Participate in training to develop skills that support the unit's programs and vision. Prepares the paperwork necessary for hiring new employees, and assists with post-hire training. Qualifications: Minimum Qualifications The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus two years of experience in a specialized or a related field applicable to work performed. OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL OF THE QUALIFICATIONS REVIEW COMMITTEE.
