Overview:

The Office Administrator supports the Program and or Business Manager completing administrative tasks associated with the multi-year construction projects.

Primary Responsibilities:

  • Answer multi-line phone
  • Greets and directs all visitors, including vendors, clients, job candidates and customers
  • Assists the Program/Business Manager
  • Prepares correspondence as requested by office staff
  • Assists the Program/Business Manager in all aspects of preparation so client invoices can be processed for payment
  • Assists Subcontractors regarding invoicing questions
  • Accepts/Rejects Subcontractors invoices based on required documentation on file
  • Additional duties as assigned

Supervisory Responsibilities:

  • There are no supervisory responsibilities associated with this position.

Education and/or Experience:

  • High school diploma or equivalent required, or two years of applicable administrative experience.
  • Experience with Davis Bacon wages and Certified Payrolls preferred.
  • Must have experience following written procedures

Knowledge, Skills, and Abilities:

  • Must have outstanding grammar skills and experience preparing written correspondence
  • Must be detail oriented, well organized, and be able to multi-task
  • Must possess excellent communication skills (verbal and written). Requires the ability to complete assigned tasks with limited supervision
  • Must be proficient with Microsoft Office Suite of products including, Word, Excel, and Outlook business software
  • Must demonstrate a good attitude and ability to work as a member of a Team
  • Position requires self-motivation and the ability to work effectively under a minimum of supervision
  • Must be able to multi-task efficiently, work in a fast paced environment on multiple projects, and have a strong attention for detail
  • Must be able to type a minimum of 40-60 WPM accurately
