The Faculty Affairs Coordinator provides high-level administrative and academic support to the AMC Department of Psychiatry and serves as a highly visible representative of the department. This role requires the ability to work collaboratively and effectively with a wide range of stakeholders, including faculty, peers, and leaders across hospital departments and Mass General Brigham (Partners) institutions. Success in this position requires professionalism, discretion, political acumen, and the ability to navigate complex organizational structures.
The Faculty Affairs Coordinator is expected to operate with a high degree of independence and manage multiple priorities under strict deadlines. They will support key departmental initiatives-particularly those in partnership with Harvard Medical School (HMS)-including faculty career advancement in accordance with HMS guidelines and initiatives aimed at enhancing faculty engagement and satisfaction. The role also includes maintaining and strengthening programmatic and administrative support across departmental sections, including Ambulatory Psychiatry, Medical Psychiatry, and Research. The Faculty Affairs Coordinator performs the following essential functions: 1.Coordinate Harvard Medical School (HMS) faculty appointment, promotion, and reappointment processes. 2.Manage onboarding and offboarding for clinical and research faculty, clinical rotators, sponsored staff, and volunteers-including HR paperwork, credentialing, system access, and visa processing. 3.Maintain faculty compliance and training documentation in systems such as HealthStream; ensure records are up to date for all faculty and staff. 4.Maintain and update academic and appointment-related data in systems such as Workday, credentialing platforms, and HMS faculty appointment tools to ensure accuracy and institutional alignment. 5.Track and report key faculty data and milestones, including CVs, publications, awards, academic productivity, reappointments, board certification renewals, and academic leave requests, for internal and HMS reporting. 6.Support the annual faculty review process, including preparation of OPPE/FPPE reports and other documentation. 7.Coordinate faculty affairs processes across the AMC Department of Psychiatry (e.g., BWH, MGH, Faulkner), ensuring consistency in communication and compliance with institutional and HMS policies. 8.Provide high-level administrative support to department leadership, including calendar management, meeting scheduling, agenda coordination, and follow-up tracking. 9.Draft, edit, and distribute administrative communications, academic correspondence, and materials for faculty promotions and publications. 10.Prepare and distribute meeting materials and take minutes for leadership and faculty meetings. 11.Assist with departmental events and special functions such as retreats, seminars, and visiting professor programs. 12.Collaborate with communications staff to review, edit, and update departmental marketing materials and website content. 13.Train and support administrative staff in creating and maintaining HMS-compliant CVs and academic materials. 14.Participate in departmental or hospital-wide committees as needed. 15.Perform other duties as assigned. Education Bachelor's Degree Healthcare Management required or Bachelor's Degree Business Administration required or Bachelor's Degree Related Field of Study required Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience Experience in a healthcare setting, preferably in provider relations or medical affairs coordination 1-2 years required Knowledge, Skills and Abilities - Knowledge of medical staff credentialing processes and regulatory requirements. - Excellent interpersonal and communication skills. - Strong organizational and multitasking abilities. - Detail-oriented with a focus on accuracy in documentation and reporting. - Familiarity with credentialing software and Microsoft Office Suite.
