- Assists management and/or organizational unit in meeting goals and objectives. In consultation with supervisor, develops objectives, priorities, and deadlines; plans and carries out assignment handling problems and deviations.
- Responsible for the administration of the monthly meetings, inclusive of the agenda, coordination of pre-reading packets for executives, meeting minutes and keeping the public folders current.
- Performs a variety to high level administrative services (power point presentations, word processing, spread sheet reports, proofreading/editing/annotating, filing, answering telephones, copying, mail distribution, etc.) for Manager and other personnel as required.
- In conjunction with department staff, establishes and organizes office workflow and provides technical guidance and training to staff.
- Establishes and organizes filing systems and records and prepares accurate and high level complicated spreadsheets, summaries and tabulations for various data reports.
- Maintains confidential project files and records for the department. Assists in the preparation of budget, monitoring expenses and researching discrepancies.
- Composes routine correspondence for distribution as requested.
- Coordinates business itinerary and maintains calendar, makes decisions on delegation of meetings where necessary, makes appointments and arranges travel for Manager and others as required, including flight arrangements, hotel accommodations, and related schedules and prepares and distributes itineraries as required. Prepares and processes necessary travel and expense (T&E Reports) paperwork/forms and routes for proper approval.
- Prepares proper paperwork for check requests, office supplies, purchase orders, etc. generated by the Manager for approval by appropriate personnel as required.
What will you need to be successful?
- High school diploma or equivalency required
- Bachelor's Degree preferred
Experience:
- Minimum 3 years administrative assistant experience
- Proficient in MS Office applications (Excel, Word, PowerPoint, Outlook)
- Must be able to independently create Excel spreadsheets, PowerPoint presentations, maintain SharePoint sites and compose routine correspondence
- Ability to make travel arrangements, including international travel, and follow-up on details
- Experience coordinating large scale meetings and off-site customer conferences
- Highly organized with consistent follow-through
- Ability to work without supervision, while exercising sound, independent judgment
- Highly flexible and adaptable; ability to shift focus and priorities easily and quickly
