Job Summary |
The
College of Liberal Arts is excited to recruit candidates for our next
Administrative Support Associate, who will provide administrative and clerical support for a broad variety of office and project support duties and tasks for the Pre-Law Scholars Program in the Department of Political Science. |
Essential Functions |
Administrative and Clerical Support: Perform a variety of administrative tasks including data collection and management, correspondence, filing, calendar coordination, event scheduling, registration tracking, website updates, and supply purchasing. Maintain organized and up-to-date digital and physical records. Membership Application and Database Management: Assist with the intake and processing of Pre-Law Scholars Program / Pi Lambda Sigma applications. Verify applicant eligibility, enter and update data, and generate accurate membership reports. Event Coordination - Law School Fair: Support the planning and execution of the annual Auburn University Law School Fair. Coordinate law school registration, liaise with internal and external departments, and manage budget reconciliation for event-related expenses. Program and Event Support: Provide logistical support for all Pre-Law Scholars Program events (e.g., Law School Fair, workshops, guest speakers), including space reservations, registration systems, guest parking and/or transportation arrangements, and other administrative tasks. Mock Trial Team Support: Coordinate travel logistics for the Mock Trial Competition Team, including hotel bookings, car rentals, and expense reconciliation. Financial and Procurement Processing: Process travel and expense vouchers, reconcile purchase card transactions, and assist with other expenditure-related documentation. Policy and Procedure Guidance: Advise faculty, staff, and students on standard policies and procedures related to the Pre-Law Scholars Program. Liaison Responsibilities: Serve as a point of contact between the Pre-Law Scholars Program and other university departments, law schools, and external vendors. Vendor and Purchasing Coordination: Communicate with vendors and external agencies to facilitate purchasing and service arrangements on behalf of the program.

Minimum Qualifications
Minimum Qualifications |
Level I: High school diploma or equivalent plus 2 years experience in clerical and administrative support services.
Level II: High school diploma plus 4 years of experience in clerical and administrative support services.
Substitutions allowed for Experience: When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience. |
Minimum Skills, License, and Certifications

- Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
- Strong organizational and time management skills.
- Excellent written and verbal communication.
- Ability to manage multiple tasks with attention to detail.

- Experience working with Auburn University systems such as Banner, TigerBuy, and Advise Assist.
- Demonstrated aptitude for quickly learning and effectively using new software platforms and administrative tools.
- Familiarity with Qualtrics.
- Familiarity with university administrative processes and event planning logistics is a plus.
