Join our high-performing team as a Property Coordinator, where you'll contribute directly to the success of BioMed Realty's premier life science properties. In this pivotal role, you'll support day-to-day property operations, deliver exceptional tenant service, and help uphold the gold standard in research and laboratory facility management. We're looking for a proactive, detail-driven professional who thrives in a fast-paced, collaborative setting and is eager to make a meaningful impact. This position offers a hybrid work model, which includes 4 days in office and 1 day remotely. Hybrid work may be modified based on the needs of the company. Key Duties and Responsibilities:
- Financial & Administrative Support
- Process accounts payable and receivable, including invoice management and purchase order generation.
- Assist with budget preparation, variance analysis, and property-level financial reporting.
- Maintain accurate records for all financial transactions and support audit processes.
- Operations & Tenant Services
- Enter, track, and follow up on work orders, maintenance activities, and tenant requests using the COVE system.
- Coordinate maintenance and construction projects, including contractor access, scheduling, and communication of operational updates to tenants.
- Prepare and distribute tenant notifications regarding maintenance, construction, and building operations.
- Vendor & Compliance Management
- Track and maintain Certificates of Insurance (COIs) for tenants, vendors, and contractors.
- Support bid processes and contract creation, including document assembly and vendor contract management.
- Assist with vendor onboarding and maintain up-to-date documentation in the MRI system.
- Event Coordination & Tenant Engagement
- Support, coordinate, and help host on-site building events to foster a positive tenant experience. Activities may include tenant appreciation events, sustainability initiatives, or wellness programs.
- Work with vendors, building staff, and the property team to ensure successful planning and execution of events.
- Sustainability & Regulatory Support
- Help track and report environmental and sustainability metrics (e.g., waste diversion, energy usage).
- Assist with utility tracking and regulatory compliance work orders.
- Customer Service & Team Support
- Serve as a professional and welcoming point of contact for tenants, visitors, and vendors.
- Provide general administrative support to the property management team, including scheduling, document management, and special projects as assigned.
- Provide a welcoming and professional presence when engaging with visitors, tenants, and vendors.
Job Specifications:
- Experience:
- Minimum 2 years in an administrative, property management, or real estate support role; experience with life science or commercial properties is a plus.
- Familiarity with basic accounting tasks such as invoice tracking and purchase orders will significantly enhance success in this role.
- Education:
- Associate's degree or some college coursework in business, real estate, communications, or a related field preferred.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required.
- Experience with property management software (MRI, COVE, Nexus Payables or similar) strongly preferred.
- Familiarity with basic AI tools and applications (such as AI-powered scheduling, document management, or communication tools) is a plus.

Compensation: $27.89 - $35.10 per hour + bonus + benefits Position Classification: Non-Exempt (Hourly, eligible for overtime) The above represents the expected salary range for this job requisition.
