Position Objective:

We are seeking a proactive and highly professional Office Manager to support the transition of our New Jersey facility into a fully integrated operation within the larger AAF International manufacturing organization. This is a key leadership role responsible for ensuring a smooth transformation by elevating administrative functions, streamlining office operations, and serving as the primary liaison between the plant and corporate departments such as HR, Finance, Operations, and Supply Chain.

Key Accountabilities:

Office Operations & Administration

* Oversee all day-to-day office functions including supplies, vendor relationships, facility needs, and general office upkeep.

* Maintain accurate records and filing systems (digital and physical), including those related to personnel, purchasing, and compliance documentation.

* Ensure professional communication standards are met in all external and internal correspondence.

Cross-Functional & Corporate Communication

* Serve as the on-site administrative liaison to corporate functions including HR, Accounting, IT, EHS, and Procurement.

* Prepare reports, presentations, and documentation to meet corporate standards and deadlines.

* Facilitate clear, timely communication between the plant and regional/corporate leadership.

Employee Support & Engagement

* Support onboarding and offboarding of plant employees in coordination with corporate HR.

* Help foster a professional, inclusive, and collaborative workplace environment during this period of organizational change.

* Assist with scheduling and coordinating internal meetings, training sessions, and employee engagement activities.

Process Improvement & Standardization

* Identify and implement improvements to current administrative systems to align with corporate policies and best practices.

* Support the integration of new technologies, tools, and procedures during the transition period.

Requirements

Position Requirements:

1. Associate or Bachelor's degree in Business Administration, Office Management, or related field preferred;

2. 3+ years of experience in office management, preferably in a manufacturing or industrial setting;

3. Demonstrated experience supporting leadership teams and coordinating across multiple departments;

4. Strong written and verbal communication skills with the ability to interface professionally at all organizational levels;

5. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with ERP systems is a plus;

6. Detail-oriented with a strong sense of accountability and the ability to manage multiple priorities.
