Pay Rate/Range: The budgeted hourly range that the University reasonably expects to pay for this position is $27.00 to $28.00/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full hourly range for this position is $25.77 to $43.58/hour.

Work Location: Students Affairs and Administrative Services Building, Room 2201

Working Days and Hours: Mon-Fri; 4 hours between 8am-5pm (hours need to be approved by supervisor)

Department Marketing Statement:

The Capital Internship Program (CIP) administers the UC Washington Center (UCDC) and the UC Center Sacramento (UCCS) programs at UCSB. Whether in DC or Sacramento, students intern for academic credit and enroll in academic coursework. The department provides advising, outreach and support for students interested in participating, and collaborates with the campus community and the UCDC/UCCS Systemwide Offices for recruitment, application review and program implementation.

Brief Summary of Job Duties:

Under the general supervision of the Associate Director and working in coordination with the Director, the Capital Internship Program (CIP) Advisor (UC Washington Center/UC Sacramento) encourages students to participate in the program. Conducts outreach/recruitment efforts to meet program target goals and prepares students for the internship search process. Promotes the UC Washington Center (UCDC) and / UC Sacramento (UCCS) programs to campus departments and students. UCDC/UCCS programs provide UCSB students with an opportunity to live, work as interns, and study in our nation's political epicenter, Washington, D.C. and in the California capital city of Sacramento. Internships are available in a wide range of areas such as public policy, non-profit organizations, Congress and other government agencies, and a wide variety of organizations. The advisor provides all student services aspects for this program including outreach, marketing (in collaboration with the Marketing Specialist), advising, application, pre-departure and re-entry stages. Serves as the UCSB liaison to the staff at UCDC/UCCS systemwide offices. Works closely with academic departments to integrate the UCDC/UCCS experience into the major. Works under the general supervision of the Associate Director. Provides administrative support to CIP Campus Director and Associate Director as needed, including backup support for performing front desk duties as needed. Other duties as assigned.

Required Qualifications:

  • Bachelor's degree in related area and/or equivalent experience/training.
  • 1-3 years administrative experience.
  • Basic knowledge of advising and counseling techniques.
  • Excellent judgement, and skills in decision-making.
  • Ability to maintain positive professional demeanor under deadline pressure in a high-volume, continuous public contact setting.
  • Ability to identify problems, apply reasoning, and develop original ideas to solve problems.
  • High level of organization/attention to detail.
  • Strong written and verbal communication skills, including active listening.
  • Ability to professionally manage and respond in difficult situations.
  • Strong interpersonal, public relations and oral/written communication skills.
  • Ability to work independently and as a member of a team.
  • Ability to set goals, establish priorities and organize workload.

Preferred Qualifications:

  • 1-3 years of experience working in an academic environment.
  • Strong computer skills and the ability to learn new software programs.

*Important Additional Information About This Position:

This position is in a job classification that recently became part of the Student Services and Advising Professionals (SSAP) bargaining unit. This is a newly-established unit that is exclusively represented by the United Automobile, Aerospace and Agricultural Implement Workers of America (UAW).

The University and the UAW will begin bargaining over the terms and conditions of employment for the SSAP unit in Summer 2025. Until such time as a Collective Bargaining Agreement can be fully agreed-upon and ratified, the terms and conditions of employment for positions in the SSAP unit will continue to be governed by Personnel Policies for Staff Members (PPSM). Job Functions and Percentages of Time:

  • 50% Advising: Prospective Students - Carefully advises prospective UCDC/UCCS students during office hours and via email. Clearly communicates program details, requirements and application processes. Actively listens to students' academic, personal and professional goals and recommends program based on their needs. Guides students in clarifying their educational and professional goals so that they can select the most appropriate program option. Examines the students' field of study, cultural sensitivity, academic preparedness, maturity, mental and physical health needs, concerns, and provides detailed knowledge of the academic, financial, cultural, and housing characteristics of each program. In collaboration with the Associate Director, refers students with mental health and/or judicial affairs related concerns to the appropriate offices. Counsels students on general financial matters related to UCDC/UCCS. Educates students of the program cost, payment and financial aid process on these programs. Works with students in the recruitment, application, interview, pre-departure and re-entry stages of the program. Creates a welcoming, customer service-oriented atmosphere, answer diverse questions of a detailed, general or complex nature, and respond to inquiries, complaints or concerns from students, staff, faculty and members of the public in a professional manner. Maintains confidentiality of student GPA, application and personal information. Must be patient and flexible when advising students.
  • 20% Outreach/Recruitment - Conducts informational presentations in classes and in meetings of student organizations as needed. Proactively learns about UCDC/UCCS by reviewing available material, speaking to past participants and contacting the UCDC/UCCS systemwide staff when needed. Organizes and administers informational meetings and student panels for prospective students. Provides tabling at academic fairs, UCSB Open House and other informational events. Works with the CIP Marketing Specialist to create advising/marketing materials. Utilizes social media for promotional purposes. Educates campus departments about the program. Serves as liaison between the program staff in both Sacramento and Washington and the UCSB campus on all matters affecting academic opportunities, student selection, student orientation and training, and internship placement. Provides enrollment data and compiles data for reporting as needed.
  • 30% Advising: Predeparture - Reviews applications and selects students for programs. Advises selected students in preparation for the program. Continue to conduct workshops, assists and ensures that students are getting their internship application materials reviewed. Proactively encourage students and provide continuous follow-up with them during their internship search process. Instructs students in use of research resources for preparation of applications.
