Position Summary:

We have an exciting opportunity to join our team as a Financial Coordinator.

We have an exciting opening for a Financial Coordinator position within the Ronald O. Perelman Department of Emergency Medicine at NYU Langone Health. In this role, the successful candidate will work under the direction of the Assistant Director of Finance and Administration to execute special projects and assist in updating and implementing policies, procedures, and systems that govern financial functions to ensure appropriate internal controls and maximize operational efficiency.

The Financial Coordinator will monitor grant and non-grant departmental financial activity on a routine basis, establishing trends in spending and providing updates to Assistant Director of Finance and Administration by doing variance and expense analysis. They will also be responsible for identifying and proposing corrective actions as needed based on this analysis.

Job Responsibilities:

1. Demonstrates knowledge of the organizations Core Values and incorporates them into the performance of duties.
2. Process Improvement: Reviews internal processes on a quarterly basis and
proposes, then implements, efficient process and workflow improvements.
3. Departmental Finance Support:
a. Procurement: Troubleshoots purchasing and payable issues with Accounts Payable, Purchasing, and Compliance departments.
b. Prepares ad-hoc financial reports and forecasts to aid in decision making at the departmental level, as requested.
c. In collaboration with the Assistant Director of Finance and Administration, monitors operating budgets on monthly basis and addresses variance analysis of budget vs. actuals
d. Liaise with central administration (AP, Purchasing, Research Finance, etc.) to resolve problems identified from financial reports.
e. Assists the Assistant Director of Finance and Administration in developing and submitting fiscal year departmental budget and assisting with the budget preparation process
f. Generates and submits biweekly and monthly supplemental submissions and notifications.
g. Assists with onboarding and registering all consultants, Grand Rounds speakers, and vendors rendering services to the department.
h. Oversees all requests for internal and external vendor services, including but not limited to reviews for budget compliance, requisition submission, invoicing, and payment.
i. Oversees management of departmental CURB accounts to ensure compliance with institutional and departmental policies and procedures.
j. Manages financial transactions across the department including travel and expense reimbursement, submission of requisitions, payment requests, Contract Lifecycle Management,
salary and cost transfers, submission of event/meal pre-approval forms, off site invoicing and other related needs.
4. Research Division Support:
a. Updates research portfolios with monthly financial data and projections as needed.
b. Leads PI finance review meetings and follows up on all action items as needed.
c. Works closely with the Assistant Director of Finance and Administration, financial analyst and central Finance to ensure timely closeouts of sponsored projects.
d. Implements financial and billing processes to maintain consistency across studies and to comply with sponsor approved budgets.
e. Manages sub-site budgets to ensure compliance with sponsor guidelines and adherence to payment schedule. Addresses and escalates inconsistencies and discrepancies to approved budget as needed.
5. Participates in special projects and performs other duties as required.

Minimum Qualifications:
To qualify you must have a -Education: Bachelor's Degree in business related field or science.
-Experience: At least 2 -3 years related experience
-Knowledge, Skills and Abilities: Budgeting, accounting; general medical terminology for Cancer Clinical trials.

Preferred Qualifications:
1. Experience working in an Academic Medical Center and/or community organization.
2. Experience in graphic design.
3. Advanced knowledge of Excel and Adobe products preferred.
4. Project management experience preferred.
5. Proficiency in using a multitude of social media platforms such as Instagram, twitter, etc.
6. Knowledge of basic medical and research terminology is preferred.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $67,771.14 - $70,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
