Sr. Proposal Coordinator

Our Proposal Coordinators collaborate with Capture and Proposal Managers to enable successful execution of proposal tasks, using in-depth working knowledge of electronic document management systems, such as Teams Channels and SharePoint, expert skills in Microsoft Office Suite, and specialized experience in production and printing operations. The successful candidate will demonstrate the ability to partner with and support the assigned Proposal Manager, leading and providing just-in-time training on proposal document management, including document and graphics workflow, leading the proposal support teams (desktop publishing, graphics, production, and delivery), coordinating the flow of all proposal work products, and supporting administrative functions as required. This position reports to the Vice President of Proposals for Intel.

Primary Responsibilities

• Supporting the Capture and Proposal Manager by coordinating and/or conducting critical proposal development activities, depending on proposal size and complexity.
• Leading smaller prime, sub, quick turn, and White Paper opportunities in a Proposal Manager capacity.
• Coordinating kickoff meetings, document collaboration access and management, writer template dissemination and update per amendment, basic desktop publishing, supporting the graphics development process, coordinating color team reviews, proposal production, and proposal delivery.
• Providing administrative support, including, but not limited to creation and administration of effort-specific Teams Channels and scheduling and administration of color reviews and daily tag ups.
• Coordinating and supporting training for proposal team members in document management, graphics workflow, data security, knowledge management repository access, and any other document management aspects of the proposal.
• Overseeing document management for both electronic and printed material.
• Ensuring any needed production supplies are on hand, using the Production Checklist to facilitate identification of needed resources.
• Coordinating team member proposal/war room as well as server/system access and ensuring proper compartmentalization of proposal materials.
• Coordinating and scheduling facilities, including war rooms, breakout rooms, audio/visual, and any other needed resources.
• Coordinating badging of proposal team members (as needed).
• Coordinating with other functions, including desktop publishing and graphics; providing basic desktop publishing capabilities when needed and performing quality checks for document errors.
• Proficiency in Microsoft Word, Excel, and PowerPoint, and basic understanding of Teams Channels and SharePoint repositories.
• Leading final production, including detailed planning of publications schedules in collaboration with the Proposal Manager and Contracts for planning of proposal delivery.
• Participating in After Action Reviews (AARs) and Lessons Learned to develop and implement process improvements that help improve proposal quality.

Required Qualifications

• Active TS/SCI with polygraph; ability to support both MPO and VA-R customers
• Successful execution in a Coordinator capacity of large, competitive, single award procurements valued $50M+; evidence of a successful track record of high-quality, high-scoring proposals.
• Evidence of successful leadership and management of smaller dollar value efforts, RFIs, White Papers, Sources Sought, and data calls.
• Bachelor's Degree with 8+ years of professional experience or Master's Degree with 6+ years of experience.
• 5 years of experience responding to Federal Government solicitations.
• Ability to be on-site in classified spaces in Maryland and Northern Virginia to work and submit proposals.

• Successful execution in a Coordinator capacity of large, competitive, single award procurements valued $350M+
• 8 years of experience working in a competitive Federal Government proposal environment.

Salary Range: $80-$180k
