Description

UDR, Inc. is now hiring an Administrative Assistant to join our team at our corporate office.

GENERAL SUMMARY OF DUTIES: Collaborates and provides multi-faceted, professional administrative support to Company's Legal and Facilities teams. Responsible for sharing in front-end reception duties, mailings, supply inventory and replenishment, in addition to performing a wide range of clerical tasks, some of which require strict confidentiality.

SUPERVISION RECEIVED: Reports to the Director - Corporate Compliance

ESSENTIAL FUNCTIONS:

Office and Reception

1. Serves as first point of contact for the organization, screening and directing incoming calls and greeting visitors in person. Completes security procedures as required including badging and visitor passes.

2. Receives, sorts, and distributes incoming mail. Collects and processes outgoing mail. Operates postage machine and other mailroom equipment as needed. Responsible for large company mailings.

3. Responsible for ordering, maintaining, and creating corporate office new hire nameplates, packets, and desk kits. Responsible for setting up desks for new hires. Work closely with Facilities team on corporate office employee changes.

4. Performs general office duties including but not limited to the following:



  • Manage inventory of various supplies.
  • Upkeep and distribution of reports, databases, phone lists and directories.
  • General correspondence and responding to internal and external inquiries and/or requests.
  • General reports and databases.
  • Regular and/or monthly corporate communications.
  • Booking and arrangements of conference rooms, conference calls, travel, itineraries, expense reports and calendars for management/guests.
  • Participate in various special projects as requested or required.


5. Performs other duties as assigned or as necessary.

6. Performs administrative duties including but not limited to the following:



  • Print, scan, and copy legal documents.
  • Assist in preparation of travel schedules for Board Meetings.
  • Prepare forms for reimbursement to Directors for expenses incurred to attend Board Meetings.
  • Pay City, County and State invoices for multiple properties.
  • Print flight schedules and balance reports from NetJets.
  • Prepare itineraries for travel.
  • Coordinate and send weekly packages.
  • Run errands as needed to pick up lunch and to the Post Office to mail Certified Mail envelopes.
  • Assist with backup of duties for the Executive Assistant to the CEO, as needed.


7. Performs other duties as assigned or as necessary.

PERFORMANCE REQUIREMENTS:



  • Knowledge of general office practices, organizational policies, and procedures. Ability to apply policies and procedures to solve everyday issues.
  • Ability to maintain a high level of accuracy in preparing and entering information, and attention to detail. Thorough knowledge of office practices, procedures, and equipment. Skill in composition, setting up and typing accurately and with reasonable speed, a variety of correspondence, reports, and other materials. Ability to perform a variety of secretarial assignments requiring exercise of independent judgment.
  • Ability to maintain strict confidentiality.
  • Must have excellent organizational skills. Ability to exercise initiative, problem-solving and decision-making skills. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to establish priorities and coordinate work activities.
  • Must demonstrate excellent interpersonal skills; problem solving skills; and decision-making skills. Ability to proactively recognize and implement superior customer service to internal and external customers.
  • Excellent verbal and written communication skills. Ability to effectively present information to management. Must have effective listening communication skills. Ability to write reports and business correspondence. Ability to meet and deal effectively with residents, associates, and the general public.
  • Knowledge of computer systems and applications. Must have experience with computer skills including spreadsheets, Word, PowerPoint, Excel, internet, and Outlook e-mail at a highly proficient level. Ability to process computer data and to format and generate reports.


TYPICAL PHYSICAL DEMANDS: Occasionally lifting items weighing up to 30 lbs. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Extensive data input and required ability to sit for long periods of time. Regular and consistent attendance on the job is an essential function.

TYPICAL WORKING CONDITIONS: Normal office environment. Occasional evening or weekend work.

EDUCATION AND EXPERIENCE:

1. High School Diploma, or equivalent, is required.

2. Bachelor's or Associate's degree in business administration or equivalent is preferred.

3. Minimum of five years' related experience in an administrative/secretarial position.

4. Must have and maintain a valid driver's license unless otherwise noted.

Hourly Range:
* $28.85/hr. - $33.65/hr., depends on experience

Bonus Potential:
* Eligible for 10% annual bonus potential, based on personal and company performance
