Boston Government Services, LLC (BGS) has a need for a Part-Time Administrative Assistant at our corporate office in Oak Ridge, Tennessee.

What You Will Do:

  • Work independently to provide a variety of administrative support to the corporate management team (sometimes of a confidential nature).
  • Greet all clients and guests at front desk.
  • Coordinate desk and office space for visiting staff.
  • Manage catering orders and food and beverage needs, including stocking breakroom and all office supplies.
  • Prepare letters and packages for shipment.
  • Assist with local office event coordination.
  • Screen phone calls and visitors.
  • Independently complete requests as needed, refer appropriate requests to other staff members, forward appropriate requests to appropriate manager.
  • Demonstrate judgement and initiative within provided guidelines.
  • Keep abreast of key issues, commitments, and priorities of leadership team.
  • Coordinate and organize meetings, conference calls and video conferences, and arrange for conference rooms and equipment as needed.
  • Prepare, collect, review, and distribute meeting agendas.
  • Receive, sort, and distribute mail and process incoming and outgoing correspondence .
  • Independently anticipate problems and changing priorities, and alert manager as appropriate.
  • Schedule appointments based on the manager's commitments and priorities .
  • May handle highly sensitive, business proprietary information .
  • Draft and proof correspondence and capture meeting notes accurately and concisely .
  • Perform other tasks as required .

You Have:

  • Associate's degree from an accredited institution and 2 years of relevant experience OR a High School Diploma/GED from an accredited institution and 5 years of relevant experience.
  • 2 years of relevant experience and demonstrated proficiency with Microsoft Office (Word, Excel, Outlook, Teams, and PowerPoint).
  • Successful drug screening.

Ideally, You Will Bring:

  • Knowledge of technical vocabularies and terminology common to federal government contracting.
  • Must demonstrate a positive attitude and work effectively with all levels of internal and external customers.
  • Must be proactive with the ability to work autonomously with strong follow-through and ability to meet deadlines.
  • Proven administrative capability including the ability to multi-task while maintaining attention to detail and accuracy.
  • Must be able to operate effectively in an extremely fast-paced, high-energy environment.
  • Must be flexible and willing to shift gears and take on unexpected and/or unanticipated projects as needed.
  • Excellent written and verbal communication skills including spelling, grammar, punctuation, and proper use of syntax.
  • Working knowledge of administrative functions (office equipment, answering phones, filing systems, and common office procedures).
  • High level of professionalism and ability to collaborate with all levels of the organization.
  • Strong detail orientation and time management skills.
  • Effective communication, both written and verbal.
  • Must be able to maintain confidentiality and exercise a high degree of individual discretion, diplomacy, judgement, and accuracy.
