We are seeking an Operations Coordinator to manage service delivery, administrative coordination, and workflow optimization for our Service Team. This role is crucial to ensuring compliance, maintaining efficiency, and enhancing service quality in support of marine, power generation, and industrial service operations.

About the Role
As an Operations Coordinator, you will:
- Manage Service Work Orders and Job Orders: Open and maintain service work orders (SWOs) and job orders while ensuring compliance with contractual obligations.
- Ensure Accuracy & Efficiency: Analyze requests for quotes, create precise orders, and ensure clean, mistake-free billing within five days of job completion.
- Financial & Reporting Oversight: Track time, travel expenses, invoicing, and resolve discrepancies to support revenue and efficiency goals.
- Optimize Service Delivery: Coordinate with various departments to facilitate smooth workflow and timely delivery.
- Enhance Customer Experience: Maintain strong relationships with internal teams and external clients, providing regular service updates.
- Drive Continuous Improvement: Identify efficiency opportunities, document processes, and implement best practices for operational excellence.
- Support Staff Development: Assist in cross-training initiatives, workflow improvements, and productivity tracking.
Education & Experience Requirements
Required:
- Associate's or Bachelor's degree in Procurement, Supply Chain, Technical Science, or a related field OR 3+ years of relevant experience.
- Proven experience in service coordination, supply chain, procurement, or operational support.
- Proficiency in Microsoft Excel, Word, PowerPoint, and ERP systems.
- Strong negotiation, problem-solving, and organizational skills.
Preferred:
- Technical knowledge of the maritime and energy industries.
- Familiarity with technical drawings and measurements (standard & metric).
Key Performance Indicators (KPIs)
- Service Work Order Accuracy: Maintain 100% accuracy in billing and reporting.
- Efficiency & Productivity: Improve workshop margins by at least 3% YoY.
- Customer Satisfaction: Ensure regular updates and proactive communication with stakeholders.
- Process Optimization: Design and implement efficiency-driven service workflows.
