The department of Educational Psychology is seeking a Graduate Program Coordinator. The chosen candidate will be responsible for the coordination of all Graduate Program related duties for the department and supporting graduate student progress through the program. This position will exercise initiative, resourcefulness, high proficiency and comfort in multi-tasking, strong customer service, excellent organizational skills, and the ability to work independently, as well as to collaborate closely with graduate students, faculty, staff, the Department Head, COE Shared Services, the Graduate College and other university units. Duties & Responsibilities |
Duties and Responsibilities:
- Coordination of graduate degree programs including providing support for recruitment, admissions, and orientation of new students
- Provide support to the current and prospective graduate students including responding to inquiries via email, voice mail, advising graduate students on progress through programs, tracking progress toward degrees
- Provide support for graduate admissions process to include but not limited to; ensuring applications are complete, preparing application materials for faculty review, and submitting admissions decisions to Graduate College
- Monitor graduate student progress through Grad Path forms and advise appropriate faculty/department head of any potential concerns
- Track progress of all graduate students across multiple programs with varying degree requirements, create and manage progress surveys, maintain graduate student database
- Coordinate exam evaluations and program assessments, maintain records, manage GradPath forms
- Advise students and faculty regarding Graduate College and University policy
- Develop and implement strategies for efficient tracking of program and student data
- Support the registration process for enrolled graduate students, monitoring enrollments and ensuring director of graduate studies is apprised of student progress through out the program
- Resolve registration holds and issues
- Maintain registration records: Independent Study, Internship, Preceptorship, Dissertation
- Register students for courses that require department consent: Teach AZ, HCAT, Independent Study, Preceptorship, Dissertation, Internship, monitor sections in course schedule
- Assist with petitions, change of campus, residency
- Track courses required for specific students, communicate course offerings to students and advisors
- Monitor graduate student enrollment
- Maintain accurate, complete, current student and alumni databases and listserv
- Coordinate with the student, committee chair and Graduate College the final steps for final oral exam and the completion of department requirements
- Submit external awards and placeholders
- Monitor student accounts for over awards, disbursement issues, resolve issues
- Work with Director of Graduate Studies to review financial aid applications and determine allocations
- Maintain RCW and GCF budget and allocations, work with Dean's Office to submit awards
- Coordinate and track graduate assistantship applications, and hiring details, ensuring that all students hired meet qualifications for appointment
- Maintain records of all GA assignments
- Facilitate new student orientation/admission, plan and deliver orientation and info sessions with DGS
- Coordinate prospective student visits
- Follow up with prospective students regarding program details, funding, application processes and timelines; refer prospective students to appropriate faculty advisor as needed
- Coordinate with Graduate College degree counselor regarding filing Grad Path forms and expected graduation term
- Obtaining application fee waivers, petitions, etc
- Provide information and statistical data, such as detailed enrollment statistics in the programs; analyze data and maintain academic files
- Coordinate Scheduling and Curriculum processes needed
- Attend trainings and symposia as needed related to job duties
- Schedule department-controlled classrooms and conference rooms
- Reserve rooms for course-related events as requested
- Initiate Teacher Course Evaluations
- Manage social media account and website for the department related to graduate programs as needed
- Serve as back-up to the Administrative Support in Department. i.e. PCard transactions/travel arrangements and reimbursements; time sheet coordination and approval
- Managing Outlook email boxes and responding to general question inquiries
- Serve as department liaison
- Other duties as assigned
Knowledge, Skills and Abilities:
- Proficient in Microsoft Suite Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook), Adobe and Zoom
- Strong Customer Service skills
- Self-motivated, takes initiative and has a strong ability to multi-task multiple projects

Minimum Qualifications |
- Bachelor's degree or equivalent advanced learning attained through experience required.
- 1 year of relevant work experience.

Preferred Qualifications |
Experience with of University systems like GradAPP, GradPath, UACCESS, etc. |
