Cox Enterprises is hiring a Senior Manager of Flight Operations to join our team. The Senior Manager of Flight Operations is an integral part of the aviation leadership team. This role is responsible for the 24/7/365 operation of Cox Aviation Dispatch Office. They will oversee all elements for the scheduling of trips in coordination with Flight Operations and Technical Operations teams. They will ensure all company policies are followed as well as FAR's and foreign regulations. The Dispatch Office computes and files all flight plans, studies the weather and forecasts, arranges aircraft handling, ground transportation catering and any other logistical needs. This role is accountable for all dispatch functions and reporting needs as well as having significant oversight and management of operating expenses.

The Senior Manager of Flight Operations reports directly to the Vice President of Aviation. Direct reports include two licensed Flight Coordinators/Dispatchers.

Primary Responsibilities (Essential Functions) Essential Functions

  • Oversee the organization of all scheduling and planning of company aircraft ensuring the highest level of operational safety and efficiency for a 24/7/365 operating model.
  • Serve as the primary liaison with the Family Office and C-Suite offices regarding flight scheduling, charter services and all travel and accommodation requests.
  • Work collaboratively with Flight Operations and Technical Operations counterparts to manage scheduling needs, innovatively resolve issues and schedule conflicts to achieve maximum efficiency.
  • Lead strategic thinking for technology applications, process design, staffing and budget needs related to all dispatch and flight coordination activities.
  • Plan and assist with the Flight Operations Operating Budget ($3M+)
  • Stay up with current indust1Y trends in technology and best practices through attending seminars, benchmarking and networking opportunities.
  • Reconcile and review for accuracy all flight activity monthly reports for the Vice President of Aviation.
  • Proactively review schedule requirements to meet needs for the company, maintenance scheduling, and pilot training to resolve any scheduling limitations or conflicts.
  • Maintain detailed and accurate records for fuel, crew workload, expenses, and utilization repotting.
  • Confirm all Domestic and International flights comply with Cox Aviation Flight Operations FOM as well as FAA, FAR's and ICAO flight standards and regulations for each flight.
  • Oversee and work closely with the Flight Scheduling software provider to ensure all system tools and applications are efficiently and effectively utilized.
  • Schedule flight crews on company aircraft being mindful of work/life balance, efficient utilization and currency. Review and coordinate all Dispatch work assignments including training, after-hour coverage, vacation, sick leave and business travel.
  • Schedule flight crews in accordance with established Fatigue Risk Management System (FRMS) guidelines.
  • Set up and manage fuel farm tracking requirements and other vendor programs to ensure maximum benefit
  • Develop and maintain efficient workflow processes for the handling of trip requests, invoice. processing, record retention and compliance needs.
  • Ensure constant utilization of the Safety Management System in all planning and scheduling of flights. Assist in the development of the Flight Operations Manual and execution of SMS system.
  • Supervise employee work and provide feedback and counsel to improve efficiency and effectiveness.
  • Adhere to the Cox performance management program and criterion for annual performance evaluations for all Dispatch employees.
  • Lead professional development conversations with dispatch staff.


Additional Duties and Responsibilities

  • Reconcile all flight operations expenses including department credit cards and invoices through the approved company on-line invoice processing. Ensure all Flight Coordinator/Dispatcher expense reports are accurate, complete and approved for payment.
  • When needed, we will meet and greet arriving and departing passengers and assist with their needs. Confirm that customers who utilize the Corporate Flight Department are properly served and satisfied with the services provided and arranged.
  • Ensure that all passenger manifests are accurate to comply with all IRS/ SIFL and internal reporting requirements.
  • Oversee the functionality of the fight tracking software and tools to monitor the progress of all company aircraft movement using an aircraft situational display program. (Flight Aware).
  • Ensure all flights are briefed and de-briefed for awareness and feedback to improve customer service.
  • Review, assess, evaluate and implement any valuable feedback to improve processes and overall department efficiency.
  • Maintain Pilot and Dispatcher schedules and currency records.
  • Design policies and procedures that meet/exceed ISBAO/SMS protocols.
  • Lead the design, implementation and oversight of workplace practices for remote and on-site work activities.
  • Corporate Angel Network (CAN) coordinator
  • Serve as a company representative in industry working groups. (NBAA, GBAA)
  • Perform all other duties as required or assigned.


Required Qualifications

  • 12 years of Corporate Flight Operations and Dispatch Management experience
  • 3+ years' experience in management or leadership role
  • FAA Dispatcher License.
  • Operations budgetary experience
  • IS-BAO/BASC Safety Management System experience


Preferred Qualifications

  • Bachelor's Degree and 8 years of corporate flight operations experience preferred
  • Knowledge of payables and spreadsheets preferred

USD 119,600.00 - 199,400.00 per year

Compensation:

Compensation includes a base salary of $119,600.00 - $199,400.00. The base salary may vary within the anticipated base pay range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include an incentive program.

Benefits:

The Company offers eligible employees the flexibility to take as much vacation with pay as they deem consistent with their duties, the company's needs, and its obligations; seven paid holidays throughout the calendar year; and up to 160 hours of paid wellness annually for their own wellness or that of family members.
