About This Position

Schedule: Monday - Friday

Hours: 8:00am - 5:00pm

***This is a traveling position, but will be based out of the Garland, TX area.***

The Vending Coordinator plays a crucial role in increasing vending revenue and profits by ensuring efficient operations. This position focuses on minimizing machine downtime, coordinating vending machine installations, managing inventory and maintaining systems. The ideal candidate will demonstrate strong teamwork skills, adaptability to a dynamic work environment, and the commitment to working on-site in correctional facilities.

Responsibilities:

Customer Satisfaction

  • Foster positive relationships with customers and on site KCN staff.
  • Serve as the primary liaison between facility administration and the KCN help desk for vending related issues.
  • Report machine outages promptly through ServiceNow and ensure timely resolution.
  • Ensure machines are adequately stocked and adjust product selection to prevent stockouts.
  • Collaborate with account managers/warehouse team to address facility needs.

Product Redistribution/Delivery & Stocking

  • Monitor product transfers between warehouses and vending locations.
  • Facilitate communication between onsite Keefe facility staff and warehouse inventory staff.

Vending Machine Installation & Start-up

  • Coordinate new vending implementations.
  • Ensure proper installation & systems setup.
  • Ensure facility storage meets standards in accordance with the existing SOP.
  • Coordinate initial product transfers and receipts.
  • Conduct vending and inventory management training. (VMS, Machine Basic training, Inventory Management SOPs)
  • Assist Field Techs & Account Management with machine & systems setup.

Inventory Management & Loss Control

  • Manage and assist in periodic inventory cycle counts. Ensure inventory discrepancies are submitted and approved before adjusting.
  • Monitor and ensure facility are submitting product discards and adjustments to onsite inventory.
  • Conduct periodic planogram/operational audits and on-site training.
  • Manage onsite product rotation and mitigate product expirations.
  • Audit inventory on-hand levels and adjust accordingly.
  • Assist with annual year-end physical inventory.

Systems Maintenance (Oracle/VMS/Vend Admin)

  • Manage Oracle/VMS/Vend Admin system maintenance including planogram changes, transfer templates, new items setup, deleted items & pricing.
  • Monitor all Vending Machines through Power BI

What You'll Need

  • High school diploma or Equivalent, and you must be at least 18 years of age.
  • Proficiency in collaborating effectively within a team environment.
  • Ability to thrive in a dynamic work environment where tasks and priorities can change rapidly.
  • Willingness to work on-site in a jail or prison environment.
  • Excellent verbal and written communication skills.
  • Previous experience in customer service, vending operations, inventory, or related systems preferred.
  • Above-average performance record in previous roles.
  • Intermediate Math & PC/Microsoft Office Skills (Outlook & Excel required).
  • Daily Travel Required; overnight travel approximately 50 - 75 days/year.
  • Ability to lift 50lbs.
  • Valid state driver's license with excellent driving record.
