Job Summary

The Admin Officer 3 (AO3) will use skills as a seasoned and experienced professional to oversee all project management and administrative aspects of 2 ongoing complex, multi-center, NIH- and foundation-funded clinical research projects related to neurodegenerative disorders. The AO3 works closely with the PI to develop project timelines and milestones for all project components and will report weekly to PI on timeline status and attainment of milestones. The AO3 assists with hiring and supervision of research coordinators and other staff members that make up the project team. The AO3 will develop meeting schedules with the executive team and all project component teams, including organizing weekly and monthly meetings, as necessary. The AO3 interacts closely with the UCSF Pre-Award team to ensure timely award set-up, execution of sub-contracts to all sites, and vendors, completion of progress reports, and other pre-award activities as necessary. The position interacts closely with the UCSF Neurology Post-Award financial management staff to monitor spending, oversee and develop budget projects, and ensure payment of invoices. The incumbent will demonstrate good judgement in selecting methods and techniques for obtaining solutions. The AO3 will collaborate with the executive team on IRB amendments and ensure protocol modifications are consistently implemented across sites. The AO3 will prepare annual reports for NIH and other funders and will work with data management to ensure timely study database setup and monitoring of data entry, including quality control. The position will monitor and prepare metrics on study enrollment, data entry, and other key project components as part of the project management, as well as assist with the analyses and generation of abstracts and manuscripts based on study data. The AO3 will collaborate with the executive team on managing and tracking data requests. Other duties as assigned.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $75,700 - $123,100 (Annual Rate).

Department Description

The Memory and Aging Center (MAC) is a clinical research unit within the UCSF Department of Neurology that investigates the clinical (neurological, cognitive, behavioral, neuroanatomic) characteristics of various neurodegenerative diseases. The Primary Investigator's (PI) research within the MAC focuses on the decision-making processes in patients with frontotemporal dementia (FTD), Alzheimer's Disease (AD), primary progressive aphasia (PPA), and other neurodegenerative disorders.

Required Qualifications


  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3+ years of related experience
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Knowledge of a variety of administrative operational activities such as project management, event planning, risk management planning, and contracts and grants regulations and guidelines.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Project management experience involving multi-center, multi-component research projects

Preferred Qualifications


  • Master's degree or PhD in neuroscience, psychology, biology, or field relevant to clinical neuroscience research and / or equivalent experience / training.
  • Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Solid knowledge of common University-specific computer application programs.
  • Clinical Research Experience
  • Experience with IRB preparation and management
  • Grant writing experience
  • Data analyses and manuscript preparation experience
