Minimum Experience/Education

Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

Preferred Years Experience, Skills, Training, Education
High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Graduation from a four-year college or university and one year of related experience in Higher Education; or an equivalent combination of education and experience from which comparable knowledge, skills and abilities have been attained.
* Considerable knowledge of modern office procedures, practices, and equipment
* Ability to work with diverse customers internal and external to DORED
* Ability to work independently and see projects through to successful completion
* Basic accounting experience
* Familiarity with processing personnel actions
* Ability to exercise judgment and discretion in performing assignments
Requires strong organizational skills, an orientation for details, excellent verbal/written communication and interpersonal skills, professional proficiency in Microsoft Office, Microsoft Excel, and the ability to learn department-specific computer systems as needed.
Individual must be organized, detailed oriented, able to multitask, have strong communication and customer service skills, work independently but also serve as a productive member of the Division of Research team, and trustworthy to handle sensitive documents and keep information confidential.

Position Overview


Primary Purpose of Position
The primary purpose of this position is to provide strategic support for the work and duties executed by the Division of Research ( DOR). The Business Assistant must provide important decision-making and action-oriented activities that allow the work of the to be carried out with the utmost efficiency and effectiveness. This position interacts on a daily basis with internal and external constituencies across the university. Some of the work done by this position is confidential and requires maximum discretion.
Primary Function of Organizational Unit
The Division of Research ( DOR) manages N.C. A&T's research enterprise. DOR provides services to faculty and student researchers, to current and potential research partners, funding agencies, and economic development agencies.
Work Hours 8 a.m. to 5 p.m. Monday to Friday
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)
Key Responsibilities and Related Competencies


Required Competency Program Knowledge
Duties
Report to and provide administrative support to assist The Division of Research. Tasks to include managing calendars, reviewing documents, emails, scheduling meetings, etc.

Works primarily with the Division of Research's business officer and administrative team to process and manage personnel and budget transaction workflow.

Conducts basic accounting, tracking invoices, ordering supplies, coordinating the use of the office space, proofreading documents, and making photocopies.
Other duties as assigned by the Business Officer or Associate Vice Chancellor


Required Competency Work Coordination/Planning
Duties
Supports the Division of Research by providing backup for responding to and logging calls when current staff are not available.

Assists the Business Officer with back up for accurate payment of invoice and other business operations

Provide Inventory Assistance


Required Competency Administrative Duties
Duties
Provide support in the areas of communication, logistics, preparation of materials and follow-up for meetings, training seminars and workshops.

Collaborates with other administrative staff in the preparation of needed materials for meetings and reports, review of policies, and transmits requirements with time-frames to both leadership and staff.

Maintain accurate records

Monitioring and mantenance of sufficient stock of stationary and IT equipment for Division of Research

Duties
Provide operational support for the Division
Record retention and orgainzation of contractural confidential research documents

Serve as one of two building representatives for the Fort IRC Building and serves as the bridge between the buiding occupants and university administration (faculities, IT, Vice Chancellors etc.)

Work closely with Assistant VC's, Associate VC and Director of Labortory Operations as the building representative to help maintain a safe work enviornment.
