About the Department:

University Life Project and Process Management (UL PPM) provides project and process management support, guidance, and training to the Division of University Life.

About the Position:

The Project Coordinator will provide project management support for the University Life Project and Process Management team including scheduling meetings, conducting note taking, developing reports and presentations, tracking tasks, and communicating status updates to stakeholders. This role will primarily provide project management support for the Mental Health and Well-Being Taskforce at George Mason University, however will also support other project work as requested for the University Life Project and Process Management unit.

Responsibilities:

Task Tracking:



  • Attend meetings for the Mental Health and Well-Being Taskforce and serve as the primary notetaker;
  • Share summary notes after meetings to all attendees including assigned action items;
  • Follow up with attendees to ensure action items are completed by set deadlines; and
  • Provide ongoing status updates to Project Sponsors on assigned action items and planned timeline.


Scheduling:



  • Schedule meetings and retreats for members of the Mental Health and Well-Being Taskforce;
  • Work with stakeholders in setting up meetings including reserving locations on campus for in-person events; and
  • Resolve calendar conflicts before they arise.


Creating Reports, Presentations, and Templates:



  • Set up reports and presentations for the Mental Health and Well-Being Taskforce to share their end of the year findings to George Mason University leadership; and
  • Develop templates as needed to share ongoing status updates to the Mental Health and Well-Being Taskforce Executive Committee and George Mason University leadership.


Providing Administrative Support:



  • Maintain file management for the Mental Health and Well-Being Taskforce;
  • Support onboarding new members to the Mental Health and Well-Being Taskforce; and
  • Assist with other documentation as requested.


Supporting UL PPM:



  • Provide project management support for other projects assigned to UL PPM as requested.


Required Qualifications:



  • High school diploma or GED;
  • Ability to schedule and adjust meetings, calls, and events for multiple stakeholders;
  • Ability to multi-task and work under strict deadlines;
  • Demonstrated communication and writing skills;
  • Demonstrated computer skills in Microsoft Office suite;
  • Demonstrated organizational skills including creating action plans;
  • Ability to handle confidential information; and
  • Ability to work in a hybrid-work environment.


Preferred Qualifications:



  • Bachelor's degree or equivalent combination of education and experience;
  • Experience working at a higher education institution; and
  • Experience in project management.
