Responsibilities: The Warehouse Operations Manager is responsible for the daily operations of Facilities Management warehousing, general services, and surplus property functions in support of the central warehouse and subsidiary inventory locations and departments on all campuses which support facilities maintenance operations of the university. The manager supervises a team of Warehouse and General Services supervisors. Works a standard Mon-Fri schedule. With flexibility to choose an 8-hour shift between the hours of 6:00 a.m. - 4:30 p.m. Primary Responsibilities:
- Ordering, purchasing, and inventory of goods for maintenance and renovation projects to include;
- Receiving, storing and distributing purchased goods;
- Processing receiving documents in multiple enterprise systems;
- Administering inventory control process to include physical counts and reconciliation of inventory control to department fiscal budget;
- Developing, implementing and managing complete inventory and tool control systems in Asset Essentials to include training warehouse personnel and non-FM departmental users in their operation and use;
- Overseeing General Services and surplus property operations to include;
- Moving and set up of equipment, furniture, and materials for classroom, department, ADA support, and the set up and support services for university events; and
- Ensuring compliance and processing of Surplus Property and disposal functions, including facilitation of GovDeal.com transactions with GMU policies and Procedures.
Daily Operations:
- Manages the daily operation of and supervises staff of the Facilities Management Warehouse and General Services shops;
- Plans and organizes daily workload in support of the central warehouse and subsidiary inventory locations and departments on all campuses;
- Plans and organizes General Services and surplus property operations to include; moving and set up of equipment, furniture, and materials for classroom, department, ADA support, and the set up and support services for university events;
- Develops new and/or improved methods and procedures for optimum productivity, efficiency, and cost control and customer service; and
- Motivates supervisors and staff to ensure predetermined productivity, cost and quality standards are achieved or exceeded.
Warehousing Operations:
- Directs warehouse in the ordering and purchasing of goods for maintenance and renovation projects, receipt, storage and distribution of purchased goods;
- Processing of receiving documents, and maintenance of transacted files, cataloging program to include proper identification, contract costs, and current source of supply;
- Reviews accuracy and adequacy of requests and implements the purchase according to procedures and guidelines as set forth by FM and GMU policies and procedures;
- Tracks emergency and priority projects for timely delivery of materials through vendor contacts and Facilities Purchasing to expedite request; and
- Reviews invoices for accuracy and direct receiving reports to accounts payable to maintain prompt payment.
Inventory Management:
- Directs the receipt and shipment of all materials and goods consigned to the warehouse and subsidiary locations;
- Oversees the maintenance, control and coordination of stock inventory materials, tools and all items in storage;
- Provides Asset Essential and operational procedure training to Facilities Management, Warehouse, and non-FM Departmental staff and users related to inventory management;
- Monitors supplies on hand versus usage in order to evaluate requirements and recommends adjustments inventory stockage; and
- Coordinates periodic physical inventories, spot checks, and performs reconciliation of department fiscal budget to ensure inventory control.
General Services Operations:
- Directs General Services' small campus moves; surplus furniture and equipment pick up and disposal, and related duties as required;
- Manages General Services support of; special university functions/events (i.e. graduation), classroom furniture upgrades, classroom furniture inventory maintenance, moving bulk items and other duties as assigned; and
- Ensures compliance of Surplus Property and Disposal functions, including facilitation of GovDeal.com transactions with GMU policies and Procedure.
General Administration of Warehouse:
- Prepares periodic and ad hoc reports and analyses, assures that response is given promptly and accurately to all inquiries;
- Supports the annual inventory of Facilities Management fixed asset equipment;
- Maintains ongoing, effective and mutually beneficial working relationship with other departments in the University as required, including Accounts Payable, Material Management, Fiscal Services and Fixed Assets;
- Maintains current listing of State and Local procurement contracts and vendors to expedite procurement of materials/services for all projects;
- Compiles weekly status of materials on order; and
- Meets with Assistant Directors, Supervisors or Project Managers, when requested, to determine types of materials/services required to complete projects on a timely schedule. inventory of Facilities Management fixed asset equipment.
Performs other duties as assigned:
- May be required to work additional hours in the event of an emergency. This may require reporting to work early, staying late, and/or working weekends. Employee is also designated as "Essential Personnel." All essential personnel employees are required to report for snow removal or other emergency when assigned.
Required Qualifications:
- High school diploma or equivalent;
- Working experience with automated CMMS, Inventory, and purchasing systems;
- Experience supervising/managing a warehouse or similar work environment (at least three years or more);
- Extensive knowledge of warehouse, shipping, receiving operations, material handling, inventory control and process management, procurement methods and procedures;
- Must have skills in personnel management, leadership, guidance and instruction of staff and end users, as usually gained through previous supervisory experience;
- Ability to provide excellent customer service;
- Ability to keep accurate and complete records and use an automated system to record receipts;
Ability to communicate effectively in speech and in writing - particularly in the development and presentation of control systems and procedures; - Required to go out in inclement weather, lift up to 50 lbs., and train new employees in the operation and use of warehouse equipment; and
- Valid driver's license: must currently possess an appropriate, active, valid motor vehicle operator's license that meets all of GMU's requirements for operating state vehicles and equipment under Mason's Vehicle Use Policy 1411

Preferred Qualifications:
- Bachelor's degree in related field;
- Working experience with Asset Essentials, eVA, and Banner facilities management and accounting systems;
- Demonstrated work experience to support central receiving, inventory management, and budget reconciliation procedure; and
- Preferred APPA Certified Educational Facilities Professional (CEFP) or IFMA Facilities Management Professional (FMP).
