About the Job
Position Summary The Libraries HR Team equips and empowers employees to be their best at work. The HR Coordinator serves as a collaborative member of the HR Libraries team to provide HR coordination in a variety of human resources areas, including workforce data management, personnel file management, search support, and onboarding/offboarding support. This position works closely with the HR Advisors and reports directly to the HR Director.
Responsibilities Workforce Data Management (50%) Ensure overall data integrity in PeopleSoft by reviewing all requests for compliance with policies and procedures and then entering, updating, and auditing appointment data. Partner with the HR Advisor or HR Director to resolve. Serve as the PeopleSoft Absence Administrator for the Libraries. Ensure the accuracy of entries by employees and resolving issues where needed. Manage time off approvals, payroll corrections related to absences, and vacation payouts. Create and maintain position specifications in PeopleSoft as the Libraries' Position Manager. Maintain POI accounts and volunteer documentation.
Recruiting and Administrative Support (20%) Post and close positions in the University's Recruiting System for all non-student appointments. Manage candidates in Recruiting Solutions from start to finish, serving as the subject matter expert for hiring managers, search committee members, and applicants. Submit background checks on behalf of the hiring unit and manage compliance with the Safety of Minors policy. Keep the HR Advisor apprised of background check statuses, ensuring employees don't start before successfully completing background checks. Create and send initial offer letters and updated appointment letters (including pay changes). Assist HR Advisors with interview coordination and travel arrangement as needed. Manage the personnel files. Lead the migration to electronic files by maintaining update instructions, scanning/uploading personnel file documentation, and serving as a resource for supervisors and the HR Team. Assist the HR Advisors with student employee hiring, I-9s, and appointment letters as requested.
Data Analytics (10%) Provide leadership in researching and collecting HR data and developing reports using Data Warehouse, UM Reports, EFS, and other resources, e.g., salary analyses, salary surveys, EOAA reports, professional organization reports. Guide the use and presentation of HR metrics to help inform decisions and direction. Support the HR Director with the completion of various salary surveys.
Onboarding & Offboarding Support (10%) Manage compliance with I-9 requirements by communicating with employees and ensuring proper completion in a timely manner (for all non-student employee positions). Notify key stakeholders of onboarding and departing employees. Serve as key point of contact for new employees. Partner with HR Advisors to facilitate in-person onboarding events.
Special Projects (5%) In partnership with HR Advisors, maintain the HR Libraries web content. Oversee the maintenance of the HR Libraries' Standard Operating Procedures.
Qualifications
Required BA/BS degree, or a combination of education and/or relevant experience to equal at least four years. Experience reviewing HR data requests and entering them into a Human Resources Management System (HRMS). Demonstrated analytical and problem-solving skills. Demonstrated ability to work well with people from all backgrounds, communities, identities, and abilities.
Preferred Ability to be empathetic, diplomatic, and approachable, with the ability to establish trust with employees and managers. Proven attention to detail with a high level of accuracy and follow-through. Strong communication skills, both written and verbal. Demonstrated initiative to identify needs and create solutions to address them. Ability to learn new technology programs/features and platforms (such as Drupal, formulas within Excel/Google Sheets, PowerPoint/Google Slides, etc.).
Benefits
