About the Job

The University of Minnesota seeks an experienced, detail-oriented, and professional Event Coordinator. This individual will play a vital role in ensuring events run smoothly, including managing vendors, coordinating schedules and logistics, adhering to budget and handling situations with discretion and tact in a highly visible and professional setting.

This is an hourly position.

Key Responsibilities
Operations Management

  • Coordinate routine and emergency maintenance with appropriate university departments and external vendors.
  • Provide leadership and direction to ensure excellent service and support during events and daily operations.
  • Welcome and accommodate visitors, guests, and dignitaries, ensuring their experience reflects the values and hospitality of the University.

Event Management

  • Plan and execute events hosted at the President's residence, ranging from small gatherings to large functions with critical stakeholders on behalf of the university.
  • Liaise with university staff, caterers, vendors, and other stakeholders to ensure events are successful, aligned with strategic priorities, and within budget.
  • Supervise event setup and takedown, ensuring all logistics are handled professionally and efficiently.

Safety and Security

  • Ensure compliance with all safety and security protocols within the residence.
  • Work with university security teams to address safety measures for the President and guests.

Other Duties

  • Serve as an events liaison between the residence and the university administration.
  • Perform additional duties as assigned to support the President and the university's mission.
Qualifications

Required Qualifications

  • BA with a minimum of 2 years of experience in household management, hospitality, or a related field or a combination of education and experience to total 6 years
  • Exceptional organizational, multitasking, and time-management skills.
  • Strong interpersonal and communication skills, with the ability to interact professionally with diverse individuals, including university staff, faculty, and external stakeholders.
  • Flexibility to work evenings, weekends, and holidays as required for events or emergencies.
  • Familiarity with budgeting, scheduling, and vendor management.
  • High level of discretion, professionalism, and confidentiality.

Preferred Qualifications

  • Experience planning and managing high-profile events.
  • Knowledge of household maintenance and vendor coordination.
  • Experience managing executive or official residences
Pay and Benefits

Pay Range: $32.00 - $36.00 per hour; depending on education/qualifications/experience.
