Job Summary:

The Dissemination and Implementation (D&I) Launchpad Team is part of the UW Institute for Clinical and Translational Research (ICTR) within the School of Medicine and Public Health. We support junior and senior researchers with tools, resources, and scientific guidance to help them move their research findings from experimental settings into clinical and community practice ('translating' research into practice). As a nationally recognized program in dissemination and implementation science, the D&I Launchpad is at the leading edge of a growing and innovative field, assisting research teams to bridge the gap between research and practice. The D&I Launchpad team includes faculty, scientists, educators, business consultants, and evaluation professionals and collaborates closely with ICTR's rapidly growing Learning Health System (LHS) program.

The D&I Launchpad seeks a Project Coordinator to join its vibrant team. The successful candidate will contribute to program operations and growth by collaborating with a variety of multifunctional teams working on both established and newly funded projects. The Project Coordinator works with D&I leaders to plan and coordinate program activities and timelines to meet project aims, optimize program management and workflow, and promote a culture of continuous improvement. The ideal candidate will be self-motivated, highly organized and efficient, skilled at applying their substantial project management experience to deliver and improve the D&I Launchpad's programming and be capable of advancing multiple projects concurrently. This candidate will have strong analytical and problem-solving skills, a history of effective teamwork with colleagues and interprofessional collaboration with a variety of campus stakeholders, and enjoy working in a team-based, fast-paced environment.

Key activities include:
- Manage communications between D&I Launchpad and internal/external stakeholders such as faculty/scientists participating in D&I educational activities, pilot project awardees and researchers
- Coordinate communication and scheduling of D&I Launchpad activities related to D&I Award Portfolio projects, working with each project's lead/team to ensure milestones are reported and documented
- Schedule, coordinate and document D&I Launchpad's Academic Advisory Council meetings
-Provide project management for D&I Award Portfolio projects, including developing, maintaining and supporting project plans and timelines
- Provide coordination, scheduling and documentation management to support LHS project activities in collaboration with the LHS team as needed
- Collaborate with Associate Director of Research Translation and Implementation to plan allocation of staff FTE across D&I and LHS projects and ensure they are meeting milestones
- Organize the scheduling, planning and operational execution of D& I's annual regional Short Course conference in collaboration with the Scientist Content Lead, including coordinating, monitoring and tracking budget activities and event reporting
- Collaborate with the D&I Research Administrative Coordinator to monitor the process of collecting outcome data from pilot projects, consultations, and educational and collaborative activities for reporting purposes, including facilitating communication with collaborators around data collection and storage
- Collaborate with D&I scientists and staff to analyze outcome data from D&I projects to create requisite reports and provide quality assurance on D&I's data tracking activities to ensure data integrity for ICTR and funder purposes


Responsibilities:
Plans, analyzes, manages, coordinates, and tracks projects and quality improvement efforts for processes, procedures, and systems. Provides management consulting to improve organizational results.

  • 30% Develops, schedules, coordinates, and prioritizes project work plans in accordance with specifications and resource limitations
  • 25% Develops, enhances, and maintains operational standards and systems to support project teams
  • 15% Analyzes data and trends, compiles progress reports, and provides appropriate recommendations or conclusions
  • 5% Establishes, monitors, coordinates, and controls project budgets versus actual expenditures and budget reporting
  • 20% Serves as the initial point of contact for the project(s), serves on committees, and attends meetings representing the interests of the project(s)
  • 5% Engages in outreach across UW-Madison and Marshfield, as well as nationally as needed to support the D&I Short Course and other D&I activities

Qualifications:

Minimum Required Years and Type of Relevant Work Experience:
-Minimum of 3 years of professional project management experience (playing a lead role in coordinating, facilitating, tracking, and communicating the activities of multiple projects involving multiple stakeholders at once).
-Experience with coordinating the operational logistics of large events (virtual and in person), such as agenda development, budgeting, registration, presentation management, food, etc.

Preferred Skills, Experience, Qualifications:
-Project Management Professional (PMP) certification.
-Experience using cloud-based collaboration and project management tools, such as Asana, Smartsheet, Teams, Box, and Google Drive.
-Experience managing data collection across a variety of systems (such as requesting information and updates from stakeholders via survey/email/etc.) and engaging in quality assurance to ensure data integrity for reporting purposes.
-Experience working with multifunctional teams.
-Experience working in an academic research environment.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Position required to work a minimum of two days onsite.

The starting salary for the position is $62,000 but is negotiable based on experience and qualifications.
