Posting Summary |
Rutgers, The State University of New Jersey is seeking a Administrative Coordinator (Multiple Vacancies) for the department of Dining Services. Reporting to the manager of a Dining Services unit and Executive Director's office, provides confidential-level support and performs a wide range of administrative tasks in support of Dining Services operations.
Among the key duties of the position are the following:
- Provides support related to customer service, coordination of meetings, HR and payroll; billing and invoice processing; cash handling; the preparation of financial reports and transmittals; coordination of logistics for events and meetings; and the overall administration and operation of any Dining Services office or unit.
- Duties include calendar management, coordination of meetings, reimbursements; purchasing.
- Prepares reports and data as well as a variety of complex projects, assignments, and confidential executive-level administrative support for the Dining Services leadership team.
- Acts as a liaison to both internal and external constituents, replies to routine inquiries and resolves a diverse range of issues in a professional manner.
- Provides support in matters related to personnel and payroll of a sensitive and highly confidential nature.
- Processes various administrative documents and data.
- Creates routine informational materials.
- Provides department-wide assistant and technical support in the administration of multiple systems.
- Provides training and backup coverage where necessary.
- Assists with department-wide events, programs, marketing and staff trainings.
- Assists with and completes special projects as assigned.

Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field, or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, organization, coordination and facilitation.
- Also requires relevant experience in an administrative function, preferably in a college or university setting.

- Have a Valid Driver's License.

- Must be able to prioritize and perform multiple and varied tasks in a fast-paced service-focused environment.
- Professional demeanor, courtesy, discretion, sound judgment, and reliability are essential in the performance of this position.
- Requires effective oral, written and interpersonal communication skills including knowledge of proper business writing style and format.
- Must have proficiency in Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook, etc.).
- Must be able to efficiently navigate through web and PC-based applications.

Preferred Qualifications |
- Previous experience in an administrative or operational function in a college food service or student affairs environment desired.
- Experience using RIAS, Kronos, Blackboard, Atrium, Guardian I-9, ARS, Foodpro, CaterMate, and knowledge of Rutgers University, Student Affairs and Dining Services policies, procedures and collective bargaining agreements strongly preferred.
