Provides staffing support for all clinical areas and is a superuser for Kronos scheduling. Performs bed placement functions to maintain efficient inpatient flow.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1. High school diploma or equivalent (GED)

EXPERIENCE:

1. One (1) years of secretarial/clerical experience

1. Kronos experience

2. Familiarity with Visio

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position. 1. Organizes workload to assure completion of assignments within established time frames. Supports committees; records meeting minutes accurately, types and distributes meeting minutes. Prepares and processes all correspondence. Files all documents, policies, correspondence, and reports for ease of accessibility; and maintains databases.

2. Performs bed placement functions to maintain efficient inpatient flow.

3. Utilizes Kronos scheduling capabilities in all work completed in the staffing office. Provides education and assistance to Directors and Supervisors in Kronos scheduling.

4. Reports, documents, reviews, and communicates all schedule and assignment changes. Ensures adequate staff replacement, meeting unit needs, by contacting necessary nursing personnel.

5. Maintains schedule to meet unit needs. Considers unit requests and variable census needs. Consults with and communicates with Director, Charge Nurse, and/or Supervisor.

6. Maintains clerical supplies to meet the needs of customers within the established budget.

7. Maintains/verifies valid licenses for nurses in the Patient Care Services Division.

8. Completes timecards for Patient Care Services Department.

9. Answers, screens, and reports pertinent telephone communication to appropriate nursing personnel utilizing proper telephone etiquette.

10. Prioritizes other assignments with the director to assure target time lines are met. Types daily staffing sheets from the master schedule. Copies schedules, memos, or any other communication information as directed by Supervisor and/or Clinical Director.

11. Performs other duties as assigned.

SKILLS AND ABILITIES:

1. Proficient in Word, Excel, PowerPoint, and Access.

2. Ability to attend to more than one aspect of a situation simultaneously.

3. Efficiency in processing of verbal information, either in written or spoken form is a major requirement and prerequisite of the job.

4. Some independent thought, planning or origination of options and solutions is necessary.

5. Ability to apply principles of reasoning and problem solving to resolve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
