Job Summary:

Come join the College of Letters & Science for an exciting new role as a Pre-Award Administrator. You'll have an opportunity to make a positive impact by providing pre-award proposal preparation, progress reporting, and competitive renewal for research grant proposals in the College of Letters & Science. We are looking for an agile and enthusiastic research administrator to help L&S researchers be successfull with their grant proposals.

As the largest college in the university, L&S is home to 40 academic departments, 5 professional schools, and over 60 interdisciplinary centers. The college is currently second to the Medical School in terms of extramural funding on campus. The pre-award unit within the L&S Dean's office handles approximately 1,200 proposals per year and awards worth over $200 million annually. The person in this position will assume responsibility for grants proposals generated by around 1/3 of all departments in the College. The incumbent will be asked to identify, support, and facilitate collaborative relationships with research, academic and community research partners, as well as to facilitate the approval of industry-sponsored agreements and collaborations.


Responsibilities:
Manages research administration activities or personnel related to pre-award functions including budget preparation, proposal submission, agreement negotiation, and/or project setup. Develops and oversees implementation of operations and strategic planning to ensure compliance with regulatory requirements within a unit. May manage a programmatic unit and/or personnel.

  • 20% Develops, implements, and evaluates pre-award research administration operational policies and procedures including financial, administrative, staffing, and compliance
  • 30% Works with researchers and prepares budgets, proposal submissions, agreements, or other agreements for sponsor consideration
  • 5% May supervise activities of research administration staff
  • 15% Serves as a key resource to leadership and staff in the unit as well as a liaison to partners and stakeholders
  • 5% May review and negotiate agreements on behalf of the unit
  • 5% May be responsible for new account setup
  • 15% Provide training and guidance on proposal development/submission and overall pre-award grants management (e.g., budget development, regulatory policies and procedures, compliance requirements).
  • 5% Act as backup to other staff, review and approve non-standard federal and non-federal contracts and agreements, negotiate terms and conditions as appropriate. Compile reports on proposal, award and PI statistics as requested

Bachelor's Degree
Preference given to degrees in Accounting, Business, Finance or related fields


Qualifications:

Required:

- 3 years of experience in research administration.
- Knowledge of, or ability to, learn policies and procedures related to pre- and post award research administration.
- Well-developed analytical, organizational and time management skills.
- Ability to communicate effectively (orally and written).
- Must be able to work independently and be self-motivated

Preferred:

- Demonstrated knowledge and experience at a research institute or university.
- Experience with WISER, RAMP, Cayuse, MS Office, ERA Commons, Research.gov and other software systems in use at UW Madison, or similar systems.

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

Salary:

Minimum $71,994 ANNUAL (12 months)
Depending on Qualifications
The typical starting salary for this position is $72,000 - $102,000 depending on qualifications and experience. Employees in this position can expect to receive benefits such as generous vacation, holidays and paid time off; competitive insurances and saving accounts; and retirement benefits.
