The USC Dana and David Dornsife College of Letters, Arts and Sciences is seeking a part- time (20 hours/week) Administrative Assistant II in the Institute for Advanced Catholic Studies. The largest and oldest of the USC schools, USC Dornsife functions as the academic core of the university, offering courses and advancing knowledge across the humanities, social sciences and natural sciences.

Guided by a lay board of directors from academia, business and the Catholic Church, the Institute is led by IACS President, Richard L. Wood, Ph.D.

Position Summary:

IACS is seeking an administrative assistant to play a critical role in ensuring the organization achieves its plans for growth in alignment with its vision and mission. This individual will report to the Institute's Executive Director and work closely with the President, the Director of Communications, and the USC Dornsife advancement team.

The successful candidate will be comfortable working both independently and collaboratively within a small, close-knit team.

Responsibilities:

Administration

  • Maintain the IACS email database in Constant Contact
  • Maintain IACS donor records and protect confidentiality of donor information
  • Maintain and organize content library in Google Drive to ensure creative assets and files are archived and searchable
  • Maintain both electronic and physical filing systems
  • Serve as resource to IACS staff members on university administrative policies and procedures, including Workday, Concur and BERT (the University emergency response team)
  • Maintain the President's and the Institute's calendars
  • Coordinate staff travel arrangements including transportation and accommodations
  • Collect and distribute mail
  • Maintain and order office supplies

Communications

  • Triage incoming calls and emails and manage relevant general communications.
  • Support the Director of Communications as needed by creating and editing social media images and captions and website postings, and proofreading Institute communication and promotional materials (including branded e-mails, blog posts and articles)
  • Monitor online engagement analytics (web, email, social media)
  • Monitor website to ensure accuracy of content and functionality of links
  • Check website for consistency, style, and cross-referencing

Event Planning

  • Coordinate Institute events, as assigned.
  • Work with staff and vendors to determine sites, facilities, technology, catering, travel, accommodations.

Preferred Qualifications:

  • 3-5 years of relevant professional experience in administration and event planning.
  • Bachelor's degree.
  • Superior written and verbal communication skills.
  • Demonstrated ability in database management.
  • Strong attention to detail and proofreading skills.
  • Excellent computer skills including familiarity with basic administrative programs: Zoom, Outlook, Excel, Adobe, Workday, WordPress, etc.
  • Demonstrated ability to work on multiple projects simultaneously while managing deadlines.
  • Specialized experience desirable, e.g. working with a faith-based or non-profit organization

Salary range:The hourly rate range for this position is $24.62 - $29.50. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, federal, state and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.

This is a gift-funded position.
